Executive Assistant

Job Description - Executive Assistant

Analytic Vizion is looking for a Senior Executive Assistant & Operations Coordinator to support our Founder & CEO and help run internal operations with excellence.

This is a strategic EA role with strong operations ownership—not a basic admin position. You’ll protect the CEO’s time, coordinate key internal rhythms and events, and build systems that make life easier for the entire team. Success is measured not by how busy you are, but by how focused and effective the CEO and Lead Team are because of your support.

You’ll thrive here if you love turning “we should do X” into a clear plan, enjoy simplifying messy processes, and get energy from being the behind-the-scenes operator who makes everything run smoothly.

What you’ll do

1. Protect the CEO’s time & focus

  • Own Nelson’s inbox as a trusted partner: draft responses in his voice, filter and prioritize, and reduce inbox time from hours to minutes.

  • Treat the calendar as sacred real estate: build margin for deep work, defend it, and ensure meetings are purposeful and prepared.

  • Prepare the CEO for every meeting with context, agenda, and desired outcomes so he shows up ready to lead, not improvise.

  • Turn “we should do X” into clear plans with owners, deadlines, and follow-through; close loops and ensure completion.

  • Become fluent in his leadership philosophy, decision-making frameworks, values, and network so you know when to anticipate, when to act, and when to (lovingly) challenge.

2. Run internal operations with excellence

  • Coordinate key internal events and rhythms, including:

    • State of the Vizion

    • Rock the Vizion

    • In-Person Days

    • Quarterly Planning

    • Uplift
ensuring they’re run with hospitality and excellence so people feel informed, recognized, and connected to the mission.

  • Coordinate LAV (Leadership Academy of Vizion) schedules (Tech Ed, Biz Ed, Core Experience) with the owners so the academy runs consistently and intentionally.

  • Own onboarding and people experience for new “AViators,” ensuring their first week says: “This is a place that thought of you before you got here.”

    • Manage the onboarding journey, AV90s, and first-day experience end to end.

  • Partner with the Director of Enablement on operational accountabilities, including expense approvals, annual gifting, and ensuring hospitality initiatives are executed with excellence.

3. Build and improve systems that serve everyone

  • Continuously ask:

    • What’s taking too long?

    • What’s creating friction?

    • What could be templated, automated, or eliminated?

  • Identify operational bottlenecks and redesign workflows to make internal processes 25% faster and simpler by the end of Year 1.

  • Build templates, checklists, and lightweight systems that scale with growth, rather than adding complexity.

  • Partner with AI tools to automate repeatable work, improve triage, and free up human time for higher-level thinking.

4. Build trust across the organization

  • With the CEO: do what you say you’ll do, communicate early when something goes off track, and challenge respectfully when blind spots appear (“challenge often, love always”).

  • With Enablement leadership: see them as the operational north star; maintain alignment and execute coordination with excellence.

  • With the Lead Team: anticipate needs, show up prepared, and be a reliable, informed partner.

  • With the broader team: serve with humility, set clear expectations, express genuine appreciation, and model the servant-leadership culture Analytic Vizion values.

What we’re looking for

You might be a great fit if you:

Experience & skills

  • Have prior experience as a Senior Executive Assistant, Chief of Staff Lite, or Operations Coordinator supporting senior leadership in a high-growth, fast-paced environment.

  • Are exceptional at calendar and inbox management, with a track record of protecting executive focus and time.

  • Have strong project and operations skills—you’re comfortable turning vague ideas into plans, coordinating across multiple stakeholders, and driving things to completion.

  • Are highly organized, systems-minded, and obsessed with making things simpler and clearer for everyone.

  • Communicate clearly and professionally in writing and verbally, and you’re comfortable drafting in someone else’s voice.

Mindset & working style

  • See yourself as a strategic partner, not just a task taker. You ask “why,” not just “what.”

  • Love operating behind the scenes where success = the team thriving, not your personal spotlight.

  • Believe “done and improving” is better than “perfect and delayed.” You ship, learn, and iterate.

  • Naturally look for opportunities to automate, template, and streamline, especially using AI tools.

  • Are comfortable holding healthy emotional and professional boundaries to protect the energy of the executive team and the organization.

Tools & tech

  • Comfortable working in common productivity tools (calendar, email, task/project systems, docs/spreadsheets).

  • Curious and open to partnering with AI (e.g., using AI for drafting, triage, documentation, and workflow support), seeing it as a multiplier rather than a threat.
