Job Description - Executive Assistant
The Executive Assistant enhances the executive's effectiveness by providing high-level administrative support to c-suite executives in a fast paced, corporate environment. The successful candidate consistently uses independent discretion over matters of significance and has the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Must work on site 5 days a week.
RESPONSIBILITIES:
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and printing, data, and graphics. Prepares reports by collecting and analyzing information.
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; running errands, setting up for meetings, initiating communications.
Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Uses independent discretion to oversees expense reporting, project budget tracking.
Schedules and facilitates regular project status meetings, creates meeting agenda, and distributes an updated status reports for assigned projects.
Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
Maintains confidence and protects operations by keeping information confidential.
Uses independent discretion to improve quality results by studying, evaluating, and re-designing processes; implementing changes.
Collaborative, resourceful with excellent problem-solving skills.
Other duties as required or assigned.
MINIMUM QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
College preferred; minimum high school diploma or its equivalent required
Demonstrated ability and a minimum of 3 years' experience supporting Senior Level and/or C-level executives as well as sales experience
Exceptional aptitude with business correspondence, telephone skills, computer expertise including research and data analysis
Must be highly effective in two-way communication to include written, verbal and telephone skills
Exceptional customer service skills
Strong organizational skills with the ability to meet deadlines, work under stress and be able to multitask
Advanced computer literacy required with proficiency in Microsoft Office products including Excel, Word and PowerPoint
Prior work experience in Telecommunications or other service provider company helpful
