About the Opportunity

A fast-growing startup ecosystem organization is seeking an Office Manager & Executive Assistant to support daily office operations and provide direct executive support to leadership. This is an exciting opportunity to work alongside founders, entrepreneurs, and high-performing professionals in a dynamic and fast-paced environment.

Key Responsibilities

Office Management

  • Maintain a professional, organized, and welcoming office environment
  • Manage office supplies, snacks, beverages, and kitchen inventory
  • Ensure meeting rooms and common areas are always ready for guests and internal meetings
  • Handle incoming mail, deliveries, and package coordination
  • Liaise with vendors, building management, cleaning services, and other external providers
  • Manage booking schedules for shared office spaces and resources
  • Support day-to-day operational needs across the team

Executive Assistant Support

  • Manage leadership calendars, scheduling, and meeting coordination
  • Arrange domestic and international travel, accommodations, and itineraries
  • Assist with administrative tasks, appointments, and personal errands when required
  • Track action items, deadlines, and follow-up activities
  • Support inbox management, document preparation, and research tasks
  • Coordinate logistics for meetings, visitors, and external stakeholders

Requirements

Must-Have

  • Proven experience in Office Management, Executive Assistant, Administrative Support, or similar roles
  • Excellent organizational and multitasking skills
  • Strong attention to detail and ability to prioritize effectively
  • Excellent communication and interpersonal skills
  • Ability to work independently and proactively solve problems
  • High level of professionalism, discretion, and emotional intelligence
  • Willingness to work fully onsite in New York City

Preferred Qualifications

  • Experience in startups, coworking spaces, hospitality, events, or similar fast-paced environments
  • Experience supporting founders, executives, or leadership teams
  • Comfortable working in highly collaborative teams
  • Interest in startups, entrepreneurship, innovation, or emerging technologies
