As the Executive Administrator, you'll be an integral part of the team, providing essential administrative support to our Chief Executive Officer (CEO), Chief Financial Officer (CFO), and Chief Legal Officer (CLO). Your role involves delivering impeccable customer service to both internal and external clients, managing travel arrangements, drafting business correspondences, and maintaining and organizing calendars C suite.
Responsibilities:
Support functional area Chiefs in developing and implementing organizational plans, strategies, and annual budgets.
Collaborate with departmental team members and other leaders on special projects and company-wide business goals.
Present performance information, project updates, and other relevant information to internal and external stakeholders.
Maintain key stakeholder relationships relevant to the department and the company.
Assist in documenting departmental staffing plans and processes to support effective execution of business plans and initiatives.
Communicate business updates regularly to ensure consistently high performance standards.
Onsite, Monday to Friday | 60K-70K yr
Arrange and manage calendars for functional area Chiefs, including appointments, meetings, and travel.
Identify opportunities for improving departmental methods and procedures and identify resource needs.
Receive visitors and telephone calls, providing information or referring requests to the appropriate office.
Compose various correspondences such as memos, letters, agendas, minutes, and reports, ensuring accuracy and adherence to current standards.
Establish and maintain files, reference materials, and other record-keeping systems.
Review and arrange incoming mail/correspondences according to required actions and deadlines.
Prepare and coordinate reports by gathering and summarizing information and data.
Coordinate and prepare materials for Board of Directors meetings and administrative team meetings.
Provide direction and support to Executive Administrative Assistants supporting Chiefs in other functional areas.
Work independently to prioritize and coordinate activities to meet critical deadlines.
Interpret and explain rules, regulations, policies, and procedures when appropriate.
Maintain cooperative working relations with others and handle sensitive and confidential assignments with discretion.
Prepare and submit accurate expense reports following prescribed company procedures.
Maintain contract files and departmental policies and procedures, updating as necessary.
Perform other duties and special projects as assigned.
Qualifications:
Associate's Degree in Business Administration or a similar discipline, Bachelor’s degree preferred
A minimum of 3 years' experience working as an Executive Administrative Assistant or Senior Administrative Assistant.
Typing speed of at least 45 net words per minute.
Working knowledge of managing and coordinating secretarial support services such as record-keeping and filing methods.
Strong ability to compose reports and business writing with proficiency in English usage, spelling, grammar, and punctuation.
Previous experience in the healthcare industry, particularly with HMOs, is a plus.
Proficient computer skills, including electronic mail, database activity, word processing, and spreadsheet software.
