Job Description - Executive Assistant, Finance

1. Executive Support Manage the daily schedules of the team, ensuring they are kept up-to-date with their commitments and responsibilities. Arrange and coordinate meetings, which may include catering arrangements, conferences, and travel plans, including the preparation of detailed itineraries. Act as the first point of contact between the Team and internal/external stakeholders, handling inquiries, requests, and communication in a timely and professional manner. Assist in preparing reports, presentations, and correspondence as needed. Prepare meeting agendas, take minutes, and ensure follow-up actions are executed. Coordinate complex projects that involve cross-functional teams within the finance and accounting departments. Ensure office operations for the Team's departments run smoothly. Manage all aspects of domestic and international travel arrangements for the team, including flights, hotels, and transportation. Process expense reports in compliance with company policies, ensuring timely and accurate submissions. Work closely with the Team on special initiatives, including project management, research, and the development of strategic plans. Provide support in organizing company events, board meetings, and team-building activities. Assist in the preparation and execution of annual planning cycles and quarterly reviews. Bachelor's degree or equivalent experience. Minimum of 10 years of experience as an Executive Assistant, preferably supporting C-suite executives. Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools (e.g., Zoom, Slack). Knowledge of SAP's Ariba Guided Buying and Concur Travel and Expense modules, is a plus. Excellent verbal and written communication skills. Strong organizational and multitasking abilities, with keen attention to detail. Ability to handle confidential information with discretion and professionalism. Familiarity with finance and accounting terminology or experience in a finance-related industry is a plus. Ability to work under pressure and meet deadlines in a fast-paced environment. A proactive attitude with the ability to anticipate the needs of the team. Confidentiality: Maintains discretion and upholds the highest standards of confidentiality. Adaptability: Able to shift priorities and adapt to rapidly changing situations. Attention to Detail: Ensures accuracy and completeness in all tasks. Problem Solving: Demonstrates initiative and creativity in identifying solutions to complex challenges.
