Hourly base pay rate is $28.08 - $42.12/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Job Description

Cox Communications is searching for an

Executive Assistant II , to the Senior Vice President of Engineering. This person will provide seamless execution of tasks, including team management and assistance with correspondence, extensive calendar coordination, meeting preparation, data entry and reporting, payment processing, recordkeeping, travel coordination, and management of special projects, as needed for the Senior Vice President and at least one Vice President in Engineering. The role requires sound judgment and decision making, and confidentiality in handling sensitive information.

Primary Responsibilities and Essential Functions:
Interacts daily with C-level executives, leadership team, and their assistants.
Coordinates Senior Leadership Staff Meetings and all department meetings: efficient in securing the venue/meeting room, audiovisual needs, transportation and catering, as appropriate and plans any off-site activities; provides administrative support on-site during meetings; to include meeting agenda, minutes, etc.
Manages a complex, changing calendar: schedules and prioritizes meetings, appointments, rooms, equipment, catering and other resources.
Arranges travel (air, hotel, transportation) and coordinates agenda with Regional staff when required.
Types letters, memoranda and reports from drafts and proofreads and reviews documents for grammatical and numerical errors.
Prepares presentations, and other documents using word processing, spreadsheet and presentation software packages for annual conferences.
Screens some email inquiries, takes messages, responds to questions, and directs individuals to appropriate parties; should have understanding of HR policies and practices in order to direct requests.
Maintains confidential information and secure access to sensitive personnel and company information.
Maintains, updates or creates databases and/or database information.
Codes, compiles and files correspondences, records, documents and reports according to an established system.
Takes and prepares notes of meetings, conferences, and similar proceedings; attends conferences to provide administrative support.
Sorts and distributes mail and packages to appropriate parties.
Greets and assists visitors and arranges for escorts, as necessary.
Prepares, checks and processes expense reports and invoices.
Gathers and arranges materials and relevant information for assigned project or person.
Prepares, organizes and maintains documents and files of a complex or confidential nature, track budget expenditures.

Qualifications

Minimum:
High School Diploma/GED and 7 years' experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 5 years' experience; or 9 years' experience in a related field
Experience directly reporting to and supporting C-level executive and their respective teams
Advanced knowledge of MS Office, PowerPoint, Outlook and MS Word required
Excellent planning, organization, meeting coordination and project management skills.
Excellent interpersonal skills with ability to relate professionally with executive-level management.
Demonstrated ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive.
Strong written and verbal communication skills, with ability to use judgment to field inquiries professionally and efficiently.
Must have experience managing and maintaining confidential, business and personnel sensitive information
Must be detail-oriented, able to develop and maintain highly efficient work environment, and able to effectively prioritize; time management skills
Strong calendar management skills
Strong writing/communication skills

Preferred:
BS/BA degree in related discipline strongly desired (i.e., Business, etc.)
Experience in telecommunications industry is a bonus

Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year.
