This Executive Assistant provides administrative support for the Chief Nursing Officer and Associate Chief Nursing Officer. Ensures timely and efficient operations of Woman’s Nursing Administration office by providing proactive support, superior organizational and problem-solving skills, and managing organizational interactions at all levels.
Requirements:
- Requires a high school diploma or equivalent
- Associates degree in business, healthcare or related field highly preferred
- Minimum of two years of executive-level administrative support experience, preferably in a healthcare setting.
Responsibilities of the Executive Assistant include, but are not limited to:
- Coordinates meetings, agendas and appointments for the Chief Nursing Officer and Associate Chief Nursing Officer consistent with each of their preferences and priorities with both internal and external stakeholders.
- Provides support for meetings including but not limited to reserving space, entering dietary needs, requesting room setup, audio-visual equipment, housekeeping orders, preparing materials, notices, reports, etc.
- Creates, maintains, organizes, and distributes meeting minutes for approval.Composes, proofreads and edits letters, reports and presentations as directed.
- Performs general office and clerical support including but not limited to answering and routing phone calls, scanning and indexing documents, filing, troubleshooting equipment, sorting of mail and ordering supplies upon request.
- Performs special projects as assigned by the Chief Nursing Officer and Associate Chief Nursing Officer.
- Provides day-to-day administrative support for the Nursing Division's API scheduling platform by serving as a resource for leaders, troubleshooting scheduling issues, maintaining scheduling workflows, and promoting efficient and consistent use of the system.
- Provides administrative support for Nursing Shared Governance and Magnet-related committees by coordinating meetings, preparing agendas, recording meeting minutes, and maintaining official committee documentation.
- Works in coordination with Physician Order Team to format, edit, and post physician orders on the organization’s Intranet.
- Maintains queries by communicating with individuals within other non-profit healthcare facilities to share current and best practices to help benefit other member hospitals that are leaders in providing services to women and infants. This includes distributing queries within the organization to receive responses from appropriate departments, along with distributing internal queries to other member hospitals.
- Maintains and organizes policies and procedures relevant to clinical departments within internal files, as well as on the organization’s Intranet.
- Prepares check requests as directed by the Chief Nursing Officer and Associate Chief Nursing Officer for expenses. Reviews and distributes mail for the Nursing Administration department in accordance with departmental guidelines. Completes travel arrangements as directed.
- Prepares summary expense reports for the Chief Nursing Officer and Associate Chief Nursing Officer in accordance with hospital procedures.
- Serves as the Nursing Administration office timekeeper utilizing payroll software.
