Job Description - Executive Assistant to Founding Team at Series A Robotics Startup
Series A robotics startup building autonomous systems for critical infrastructure is looking for an Executive Assistant to support their founding team, with a primary focus on a Co-Founder. In this role, you'll own calendar and scheduling across multiple execs, coordinate travel for a team that's frequently on the road, and help plan and execute team events and offsites. Someone who is proactive, thrives in ambiguity, and brings a high level of trust and discretion to a fast-moving, engineering-heavy culture. Previous EA experience is a plus, comfort supporting a team that hasn't had dedicated admin support before will be impactful for this team. This is an in-office role, 5 days/week, based in San Francisco's Mission neighborhood. 120-180K DOE + equity and benefits.
Responsibilities
Manage complex, high-volume calendars and scheduling across multiple founders, prioritizing and problem-solving as conflicts arise.
Coordinate domestic and international travel logistics for a team that's frequently on the road.
Plan and help execute team events, offsites, and celebrations, including vendor and logistics coordination.
Act as a trusted, discreet extension of the team, respecting sensitive information and clear boundaries at all times.
Take on light people-ops support as the company scales, with room to grow into additional scope over time.
Qualifications
Previous experience in an EA or similarly operational support role is a plus, but not required, a hunger to learn and grow into the role matters more.
Exceptional organizational skills and keen attention to detail.
Proactive and solutions-oriented, with an instinct to anticipate needs rather than wait for direction.
Comfortable managing complex, ever-shifting calendars across multiple stakeholders.
Excellent written and verbal communication skills, with a direct, no-nonsense style.
High level of trust, discretion, and sound judgment when handling sensitive information.
Thrives in ambiguous, fast-paced environments where the playbook is still being written.
Comfortable supporting a young, engineering-heavy team that hasn't had dedicated admin support before.
Willing and able to work five days a week in office, and to complete a short paid work trial as part of the hiring process.
Proficient with everyday productivity and scheduling tools like Slack and Google Workspace.
