Job Description - Executive Assistant to the President and Board Liaison in Training


The Executive Assistant to the President and Board Liaison in Training plays a vital role in ensuring the effective operation of the Office of the President by providing advanced executive support, coordinating Board of Trustees engagement, and managing key administrative areas. This role serves as a central point of contact and communication for the President, the Board of Trustees, and internal and external stakeholders. The successful candidate will exhibit sound judgment, initiative, confidentiality, and the ability to anticipate and execute operational and strategic needs. This position will also work in close collaboration with the President and Chief of Staff and may assume additional responsibilities that support the strategic and administrative functions of the President’s Office.

  

Essential Responsibilities: 

Executive and Operational Support to the President

  • Serve as a trusted partner to the President in managing priorities, scheduling, correspondence, and confidential matters.
  • Coordinate meetings, events, travel, and related logistics to ensure the President’s time and engagements reflect institutional priorities.
  • Track action items from presidential meetings and ensure timely follow-up.
  • Oversee daily operations of the Office of the President, including expense processing, records management, project coordination, and vendor support.
  • Maintain a highly organized and responsive office environment that supports the President’s work and institutional effectiveness.

Board of Trustees Liaison

  • Support all Board-related activities at the President’s direction, including meeting logistics, agendas, minutes, and document preparation.
  • Maintain official Board records, bylaws, and governance materials; manage the Board portal.
  • Facilitate Trustee engagement and communication, assist during campus visits, and respond to inquiries with professionalism.
  • Serve as Assistant Secretary of the Board, ensuring legal compliance and supporting Trustee onboarding and development, as directed by the President.

Strategic and Institutional Support

  • Oversee institutional insurance coverage and risk documentation, serving as the primary liaison with insurance providers and internal partners.
  • Collaborate with the Executive Cabinet to advance cross-campus initiatives, strategic projects, and presidential communications.
  • Provide high-level administrative support and backup to the Chief of Staff and President, particularly in matters requiring diplomacy, confidentiality, and institutional insight.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Some evening and weekend hours are required.
  • Occasional lifting up to 25 pounds.

Requirements

  • Bachelor’s degree required; master’s preferred.
  • 4 years of relevant experience, preferably in higher education or in a complex organization that requires collaboration with both internal and external partners.
  • Advanced proficiency with Microsoft Office and professional communication tools.
  • Strong writing, editing, organizational, and time management skills.
  • Proven discretion with sensitive information; maintains the highest level of professionalism.
  • Able to work independently, manage competing priorities, and build strong relationships across all levels of the organization.
