Parc Center for Disabilities is the premier provider of life-changing services for children and adults with developmental disabilities throughout the Tampa Bay area. Every day, our team works to create opportunities, promote independence, and ensure the individuals we serve experience dignity, respect, and inclusion. We are seeking an exceptional Executive Assistant to support our Chief Operating Officer and Vice President of Operations. This is not a role for someone who wants to sit behind a desk waiting for assignments. We're looking for a proactive, energetic professional who anticipates needs, solves problems before they become obstacles, and takes ownership of projects from start to finish. What You'll Do

As a trusted partner to senior leadership, you'll help keep critical operational initiatives moving forward while ensuring day-to-day priorities are executed efficiently. Key responsibilities include:

  • Managing complex executive calendars, schedules, and communications
  • Monitoring priorities, deadlines, and action items to ensure nothing falls through the cracks
  • Coordinating cross-functional projects and following up with departments to drive results
  • Supporting maintenance initiatives and capital projects by tracking timelines, documentation, approvals, and vendor communications
  • Preparing agendas, presentations, reports, and meeting summaries
  • Building and maintaining positive relationships with vendors, contractors, and community partners
  • Organizing internal and external events and providing support during occasional evenings and weekends
  • Maintaining organized records, workflows, and project documentation
  • Providing backup support to the Executive Assistant to the President/CEO as needed
  • Assisting other members of the executive team with special projects and operational initiatives

Qualifications

  • High School Diploma or equivalent required; Bachelor's degree preferred
  • 3+ years of experience supporting senior leaders, executives, or department leadership
  • Demonstrated success managing multiple priorities and deadlines simultaneously
  • Strong organizational, communication, and project coordination skills
  • Advanced proficiency with Microsoft 365 including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint
  • Valid Florida Driver's License with an acceptable driving record
  • Ability to pass a Level II Background Screening and drug screening. This position requires screening through the Florida Care Provider Background Screening Clearinghouse. Learn more at https://info.flclearinghouse.com
