Job Description - Executive Operations Partner


Salary: $65,000  

  

Overview: The Salon People – Aveda Southeast, based in St. Petersburg, Florida is seeking an Executive Operations Partner who will work in the St. Petersburg office to join our team! We are Seeking a highly organized, analytical, high-potential graduate to serve as a strategic partner to executive leadership. Reporting directly to the Executive Vice President (EVP), this role combines executive support, business analysis, project coordination, presentation development, exceptional communication, timely reporting, logistics excellence, and operational execution. The successful candidate will function as the EVP’s trusted right hand, anticipating the EVP’s needs before they arise, managing multiple priorities simultaneously, maintaining the highest level of confidentiality, helping drive key initiatives across the organization, executing with exceptional speed, accuracy, and professionalism in a fast-paced environment while maintaining a high level of care and service. Success in this role requires strategic thinking, exceptional communication skills, absolute confidentiality, adaptability, meticulous organization, resourceful, professional, advanced proficiency in office365 applications and the ability to master other applications and tools quickly. This position is ideal for an exceptional early-career professional with advanced proficiency in Excel, PowerPoint, Word, Canva, and AI tools, who is eager to gain exposure to executive decision-making and develop into a future business leader.

Job Description:

Responsibilities, Success Profile & Benefits

Primary Responsibilities: 

Executive Partnership, Communication & Support 

  • Serve as the primary strategic and administrative partner to the Executive Vice President.
  • Anticipate the EVP's needs, communication style and priorities, and proactively prepare information, materials, and solutions.
  • Manage schedules, priorities, communications, and follow-up actions to ensure efficient execution of key initiatives.
  • Act as a trusted gatekeeper and liaison between the EVP and internal/external stakeholders.
  • Handle highly confidential business information with absolute discretion and professionalism.
  • Create meeting recaps, summaries, and follow-up communications.
  • Assist with leadership updates, owner communications, and organizational messaging.
  • Organize executive documentation and correspondence. Draft, edit, proofread, and prepare communications on behalf of the EVP
  • Schedule Zoom meetings or other meetings on behalf of the EVP, upon request.
  • Perform other duties as assigned by the EVP.

Business Analysis & Reporting

  • Gather, analyze, and interpret business data to support executive decision-making.
  • Develop reports, dashboards, spreadsheets, and executive summaries using advanced Excel skills.
  • Identify trends, opportunities, and operational insights from data.
  • Ensure accuracy and integrity of reporting and business metrics.

Presentation & Content Development

  • Create and maintain executive-level PowerPoint presentations, reports, proposals, and communications.
  • Design visually compelling presentations using PowerPoint and Canva.
  • Transform complex information into concise, professional, impactful, and on brand executive materials.
  • Support leadership , sales meetings, salon owner calls, webinars, and special events through preparation of agendas, reports, presentation materials and set-up/teardown.
  • Maintain presentation libraries and content resources
  • Ensure materials are professional, organized, and aligned with company branding      and standards

Project Coordination & Operational Execution (including shipping, logistics, & event coordination)

  • Coordinate and track strategic initiatives and cross-functional projects.
  • Manage timelines, deliverables,  follow-up actions, and project documentation. Track action items, deadlines, and commitments. Maintain project trackers and status updates.
  • Coordinate follow-up activities across departments as directed by the EVP.
  • Ensure priorities remain visible and moving forward.
  • Help identify gaps, risks, or missed follow-up opportunities.
  • Ensure projects remain organized and on schedule.
  • Support implementation of operational improvements and special initiatives.
  • Coordinate shipment of meeting materials, event supplies, educational resources, and field support materials.
  • Support planning and execution of leadership meetings, sales meetings, and company events.
  • Coordinate logistics associated with organizational initiatives and special projects.
  • Ensure materials are delivered accurately and on time.
  • Schedule and coordinate all logistics for other partner’s travel, if directed by EVP.

Executive Organization & Special Projects

  • Organize files, resources, and business documentation.
  • Maintain structure around key initiatives and projects.
  • Support special projects as assigned.
  • Create systems that improve organization and efficiency.

Technology & AI Utilization

  • Leverage AI tools and emerging technologies to improve efficiency, reporting, communication, and project execution.
  • Identify opportunities to automate processes and streamline workflows.
  • Remain current on productivity tools and technology trends that enhance business performance
  • Ensure no proprietary or confidential company information is uploaded to AI while using this technology.

General Requirements & Minimum Qualifications: 

  • Bachelor's degree from an accredited university.
  • Strong academic record with demonstrated achievement, excellence, and leadership potential.

  • Ability to work independently with minimal supervision.

  • Proficiency with the use of both Microsoft and Apple Computers
  • Advanced proficiency in Microsoft Office 365 including but not limited to Outlook Excel, PowerPoint, Word, Teams & Sharepoint.
  • Advanced Excel capabilities, including pivot tables, formulas, data analysis, and reporting.
  • Experience effectively using AI platforms & tools to improve productivity, workflow efficiency, and creativity.
  • Advanced proficiency with PowerPoint and Canva
  • Demonstrated ability to quickly learn productivity technologies and other applications 
  • Exceptional organizational and time-management skills.
  • Outstanding written and verbal communication skills.
  • Strong analytical and problem-solving abilities.

Preferred Additional Qualifications (but not mandatory)

  • Six months of related experience, internship, and/or training 
  • Internship, leadership, or project experience demonstrating initiative and business acumen.
  • Experience in creating executive-level presentations and reports.
  • Exposure to business operations, project management, analytics, or executive support functions.
  • Experience working in a fast-paced, deadline-driven environment.
  • Experience in any of the following: supporting senior leadership, project coordination, planning and logistics, or experience within sales, marketing, operations, or education organizations.
  • SalesForce, Thinkific, and MailChimp experience is a plus.
  • Knowledge of Aveda products and experience in the Aveda network a plus
