The Executive/Personal Assistant supports the President by administering both professional and personal tasks, from managing schedules, coordinating meetings, handling communications, organizing travel, and to conduct personal errands and household management. This role requires excellent organizational skills, a proactive approach, and the ability to balance multiple responsibilities effectively.
The ideal candidate is detail-oriented, highly organized, and has a strong ability to handle sensitive information with discretion.
Duties and Responsibilities
Manage the President’s calendar, scheduling personal and professional appointments. Conduct daily check-ins to review the agenda and upcoming priorities.
Handle personal errands, including grocery shopping, home organization, small household projects and tasks, occasional light cleaning, shipping mail regularly, and arranging personal activities such as dinners, vacations, and family events.
Organize, coordinate, and oversee quarterly business events, handling planning, scheduling, and on-site execution to ensure smooth operations.
Organize and prioritize incoming communications, including emails and calls; respond or escalate as appropriate.
Maintain files and records for all matters, ensuring organization and accessibility.
Liaise with external service providers, vendors, and household staff, coordinating tasks such as cleaning services, electrical work, plumbing, landscaping, home repairs, and general maintenance.
Coordinate travel, including accommodations, transportation, and itineraries.
Pick up weekly mail from the office and manage any necessary correspondence or deliveries.
Be available when the President is out of town to manage household matters and ensure things run smoothly in their absence.
Have an understanding of marketing and social media, assisting with content creation and posts as needed.
Conduct research, as needed.
Be physically capable of performing light lifting and being on your feet for extended periods.
Be adaptable to changing environments (no day is the same).
Perform other duties, as assigned.
Requirements
Proficient in Microsoft Products such as Word, Excel, Power Point and G-Suite Applications.
Strong interpersonal and communication skills.
Strong organizational skills with attention to detail.
Creative, flexible, and innovative team player.
Desire to thrive in scenarios of team-based work or independent task, always looking to learn more and take initiative to participate in multiple projects and tasks.
Ability to handle confidential business matters and information with discretion.
Flexibility to handle a variety of tasks and adapt to changing priorities.
Clear background check and driving record, with verified professional references.
Education Requirements
Bachelor’s degree in business administration, Communications, or related field (preferred).
Minimum of 5 years of experience as an Executive Assistant or in a similar role.
Work Environment/Physical Environment
Occasionally lift to 50 pounds
Periodic Bending/Stooping
Ability to drive independently to complete both professional and personal errands
