Job Description - Exhibitions Manager

Pace is a leading international art gallery representing some of the most influential contemporary artists and estates from the past century, holding decades-long relationships with Alexander Calder, Jean Dubuffet, Agnes Martin, Louise Nevelson, and Mark Rothko. Pace enjoys a unique U.S. heritage spanning East and West coasts through its early support of artists central to the Abstract Expressionist and Light and Space movements. Since its founding by Arne Glimcher in 1960, Pace has developed a distinguished legacy as an artist-first gallery that mounts seminal historical and contemporary exhibitions. Under the current leadership of CEO Marc Glimcher and President Samanthe Rubell, Pace continues to support its artists and share their visionary work with audiences worldwide by remaining at the forefront of innovation. Today, Pace has seven locations worldwide, including a European foothold in London and Geneva; two galleries in New York; Los Angeles; Hong Kong; and Seoul, as well as offices in Beijing and Berlin. In 2024, Pace has opened its first gallery space in Japan in Tokyo’s new Azabudai Hills development.

 

The Exhibitions Manager is responsible for contributing to and ensuring the smooth execution of New York exhibitions and ancillary projects. This position works in close collaboration with the New York-based Director, Exhibitions through all stages of project development and execution of exhibitions; together they evaluate, assess, and estimate the logistical and financial needs for each project to meet specific targets, deadlines, and goals. The Exhibitions Manager coordinates with internal staff, artists/estates/studios, and third-party vendors, overseeing installation for New York exhibitions in partnership with the local Art Resources team. The role works collaboratively with all Pace departments to foster a proactive, efficient, and flexible approach to all projects while ensuring consistency of standards.
 
The primary responsibility is the project management of multiple exhibitions within Pace’s Exhibition program. The core purpose of project management is to create a road map for each exhibition, establishing a structure through which all team members understand when they need to contribute to a project’s timeline, as well as which departments they are dependent upon to complete their task. An essential aspect of this role is the ability to evaluate, innovate, and improve communication systems and project management processes. In short, the Exhibitions Manager’s role is to make the complex simple.

What You’ll Be Doing:

  • Project manage New York exhibitions in collaboration with internal staff, artists/estates/studios, and third-party vendors, ensuring that each installation is completed safely, on time, and within budget.
  • Create and manage projects in Asana to ensure process deadlines are met.
  • Facilitate smooth communication between Exhibitions team members and other gallery staff.
  • Schedule and run short- and long-lead interdepartmental meetings to advance exhibition planning, bringing staff together to share and set goals, solidify process deadlines, and ensure transparency of all moving parts.
  • Create, manage, and maintain individual exhibition budgets in collaboration with the New York-based Director, Exhibitions tracking individual budgetary line items.
  • Collaborate with Exhibition Design Director on exhibition concepts and design, balancing artist/estate/studio and staff desires against budgetary restrictions; ensure Pace aesthetic and design standards are consistently maintained.
  • Coordinate with Registrars and Shippers regarding exhibition-related logistics/artwork movement.
  • Collaborate with Registrars and other Art Resources staff to ensure artwork installation instructions/manuals are prepared for exhibition artworks.
  • Process and submit invoices to Accounting in a timely manner.
  • Collect and archive all invoices, renderings, agendas, etc., for future reference.
  • Create sales and post-exhibition reports in partnership with the Director, Exhibitions; Chief of Programming; and Finance.
  • Provide and solicit research and analytics on exhibitions to measure success and enable better planning.
  • Provide the Art Resources team with logistical and production support for all on-site exhibitions as needed.
  • Assist with additional tasks as needed to support efficient and effective workflow.
  • 3+ years of project management experience in a deadline-driven environment, in exhibition coordination/management and/or artist studio management
  • BA in Art History or related field preferred
  • Self-starter with experience translating creative requests and concepts into tasks, project components, and final deliverables
  • Proven ability to manage multiple projects simultaneously while adhering to various deadlines
  • Ability to communicate effectively and collaboratively with teams located in multiple time zones
  • Proficient computer and Microsoft Office Suite skills; advanced Excel knowledge a plus
  • Familiarity of database programs and project management tools; Asana experience a plus
  • Ability to work within a CAD program a plus (i.e., SketchUp, Vectorworks, Blender)
