Job Description
We are seeking an experienced administrative professional who will provide comprehensive support to executives and leadership, enabling them to focus on strategic decision-making and leadership responsibilities.
Key Responsibilities
Calendar & Schedule Management: Coordinate and prioritize executive calendars, scheduling meetings, appointments, and travel arrangements
Meeting & Event Coordination: Prepare agendas, materials, and minutes; oversee logistics for meetings, conferences, and events
Communication Management: Serve as the primary point of contact, screening and prioritizing incoming calls, emails, and correspondence; drafting and editing professional communications
Travel & Logistics: Arrange and manage executive travel, accommodations, and transportation
Confidentiality & Records: Handle sensitive information with discretion; maintain and organize files, records, and databases
Project & Special Assignments: Support special projects, research, and analysis as directed; track progress and ensure timely completion
Financial Oversight: Process expense reports, invoices, and assist with budget tracking
Other functions as required by needs of the organization
Required Skills & Qualifications
Education: Bachelor's degree in Business Administration or a related field
Experience: Proven experience of a minimum of 3-5 years in executive or senior administrative support roles in a mid-size or larger organization.
Core Competencies:
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
Proficiency in scheduling software, MS Office, and project management tools
Ability to handle confidential information with discretion
Problem-solving and proactive problem-identification skills
Work Environment
The executive administrator will work in our corporate office, in a fast-paced environment, supporting C-suite, senior leadership and our teams. The role requires adaptability, attention to detail, and the ability to manage competing priorities while maintaining professionalism
