Job Description - Facilities Account Manager

The facilities account manager will be the single point of contact on ABM’s behalf responsible for the delivery of quality facility management services.

Address: 700 Newport Center Drive., Newport Beach, CA
Hours: Monday to Friday 8AM-4:30PM
Type of work: On-site

Compensation: $100K -$110k/year
The pay listed is the salary range for this position. Any specific offer will vary based on the successful applicant’s education, experience, skills, abilities, geographic location, and alignment with market data.

Responsibilities

    • ACCOUNT MANAGMENT
    • ·         Oversees integrated facility services which include managing, maintenance, custodial services and contracted service contracts.
    • ·         Acts as primary liaison with all customer departments, actively ensuring that service is prompt, responsive, effective and that inter-departmental concerns are addressed and resolved for ABM covered service activities.
    • ·         Conduct monthly janitorial and landscaping walks with client and account supervisor.
    • ·         Following walkthroughs, send to CMMS manager to create work order tickets, escalate and oversee completion in a timely manner.
    • ·         Responsible for the planning, implementation, coordination, and supervision of all tasks and activities for ABM covered building systems specific to operations and maintenance within the portfolio completed by ABM technicians.
    • ·         Ensures that reactive and preventive maintenance activities are appropriately balanced; monitors current and deferred maintenance backlogs; adjusts priorities and/or resources as needed and ensures that deferred maintenance is adequately documented for ABM covered systems.
    • ·         Assists in the negotiation of major service contracts related to ABM’s scope of services and works with ABM management team to prepare annual escalations as well as changes in scope to present to the client team.
    • ·         Develops and executes a strategic plan to oversee the management of key functions within Facilities Management.
    • ·         Maintains an efficient and productive organization utilizing leadership skills; reviews and evaluates the performance of ABM personnel on the account; provides guidance and training as required and recognition when warranted.
    • ·         Complies with customer and ABM corporate policies, communicates to subordinates and ensures subordinate compliance.
    • ·         Evaluates improvements, suggestions, proposals, and project requirements; determines their feasibility and economic worth.
    • ·         Develops and negotiates minor construction projects as assigned.
    • ·         Assist in the building of Facility Capital planning budget.
    • ·         Backup for CMMS Manager as needed.
    • Create site budget

    • FINANCIAL
    • ·         Oversee the monthly billing and invoicing process to ensure the invoices are submitted to the client in a timely manner.
    • ·         Assist the local branches and billing team by checking invoices prepared to ensure alignment with the client requirements, accuracy and attach all required back-up. Upload invoices into client’s payables system (Coupa).
    • ·         Track and proactively monitor financial spend on the account then align with issued purchase orders. In the event the spend exceeds the allotted purchase order obtain necessary approvals to increase existing purchase orders or obtain new.
    • ·         Create site operational budget and provide recommendations to client.

    • QUALITY ASSURANCE
    • ·         Schedule quarterly business review (QBR) meetings with the client’s key stakeholders and prepare documentation for ABM management team to review prior to meeting.
    • ·         Participate in QBR meetings with a lead role in the discussion of general performance as it relates to the contract scope of work, timely completion of work orders, employee performance, process reviews, benchmarking reviews, etc.; to resolve issues and ensure alignment of overall business objectives.
    • ·         Develop a routine schedule for monthly internal calls with the operators in the local branches who are responsible for the various sites. Review any issues, concern and identify successes to report in QBR.
    • ·         Work with the operations teams to provide one opportunity for improvement each quarter which may consist of but is not limited to the following: process improvement, procedural update, staffing recommendation, training opportunity, product selection, maintenance enhancement, supplier synergy, etc.
    • ·         Identify critical services that will be required, and potential consequences should these services not be carried out in accordance with contract scope. Contract scope of work shall also include a contingency plan for each of the critical services in the event they cannot be achieved.
    • ·         Provides regular monthly written status reports to customer and ABM management.
    • ·         Presents status and/or performance reports as necessary to keep customer management conversant with atypical occurrences, unusual staffing challenges, potential building related interruptions, etc.
    • ·         Ensure effective customer satisfaction, service and relations by implementing processes and technology to deliver quality products and services.

Minimum Requirements

    • 1.     Bachelor’s degree in related curriculum, or equivalent combination of education and experience.
    • 2.     knowledge of crafts within Facility Operations to include electrical, plumbing, painting, and carpentry preferred
    • 3.     Strong knowledge of maintenance management principles and concepts including work standards and methods, facilities planning, economic analysis, production flow, material handling, and project management.
    • 4.     A minimum of five (5) years Facility Operations experience including a minimum of three (3) years of leadership/supervisory experience. 

Preferred Skills

    • COMPUTER SKILLS
    • Strong knowledge of PC operations and software applications. (Word, Excel, Coupa, Avetta, Microsoft Dynamics AX, etc.)
    • Ability to operate within a Computerized Maintenance Management System (ServiceNow)
