Position Summary:

USA Clinics Group is seeking a motivated and organized Facilities & Travel Coordinator to support our Corporate teams with employee travel, facilities coordination, and day-to-day operational needs. This role will work closely with leadership and plays a key part in keeping our clinics and corporate operations running smoothly.

Position Details:

  • Location: Northbrook, IL
  • Schedule: Full-Time, Monday-Friday (onsite)
  • Compensation: $20-$22hr based on experience and qualifications

Responsibilities:

  • Coordinate and book travel for employees across multiple clinic locations (flights, lodging, transportation)
  • Serve as primary point of contact for travel-related issues (occasional after-hours/weekend support)
  • Assist with facility-related needs, including coordinating repairs, maintenance, and vendor communication
  • Occasional local travel to clinics and warehouse, and travel to clinics out of state up to 10%
  • Partner with operations team on ongoing projects and process improvements
  • Provide administrative and operational support to executive leadership as needed

Required

  • At least 1-2 years in a similar position
  • Able to travel out of state as needed (up to 10%)
  • Able to travel locally to nearby clinics and warehouse
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)

Other

  • Ability to work independently and multitask different projects at the same time.
  • Demonstrate good phone and email etiquette skills with timely response times.
  • Strong interpersonal skills to build relationships, negotiate and collaborate with individuals and upper management.
  • Flexible and able to function well in a fast-paced environment.
  • Extremely efficient, organized, and resourceful.
  • Strong multitasking skills to manage diverse projects simultaneously without compromise.
  • Strong decision-making skills, verbal and written communication skills and attention to detail are essential.
