Facilities Coordinator

BayView Industries of Green Bay is actively looking for a Facilities Coordinator at our Corporate office.  The Facilities Coordinator is responsible for coordinating facilities activities across all sites within the Bay Family of Companies. This role supports building and site needs, facilities equipment, vendors, contractors, and service contracts while ensuring activities comply with company policies and legal standards. The Facilities Coordinator also supports contract administration, facility projects, and other facilities-related activities as needed.

Responsibilities:

• Coordinate facility, equipment, vendor, contractor, and site needs for operational sites across the country. 
• Build strong working relationships with Plant Managers to ensure facility, equipment, and site needs are met.
• Review lease and contract documents to ensure facilities projects and activities comply with the terms of applicable lease agreements and third-party requirements.
• Coordinate financial processing for facilities activities, including obtaining quotes, processing invoices and payments, and maintaining related documentation.
• Respond to inquiries regarding facility needs, facility agreements, service agreements, and new equipment orders, providing support as needed.
• Organize and coordinate vendors and contractors to support facility maintenance, equipment needs, and other facilities related activities.  
• Maintain the vendor certification program, including risk management and certificates of insurance. 
• Perform routine contract administration duties. 
• Assist with the preparation and organization of files, documents, and reports.
• Communicate effectively and efficiently with internal and external stakeholders to coordinate facility needs and resolve facilities, vendor, contractor, and contract-related issues.
• Provide backup support to other members of the corporate team as needed. 
• Perform other duties as assigned.

Qualifications:

• Associate’s degree or equivalent relevant experience.
• 2 or more years of experience coordinating facilities, projects, vendors, contractors, or other operational activities, preferred.
• Experience with vendor insurance requirements, certificates of insurance, and risk management, preferred.
• Previous experience with financial processing, including obtaining quotes, processing invoices and payments, preferred.
• Previous experience with contract administration, preferred.
• Proficiency in Microsoft Excel and Word and ability to learn new software. 
• Strong organizational and problem-solving skills. 
• Ability to work independently with minimal supervision. 
• Excellent interpersonal and communication skills.
