Facilities Hospitality Specialist

At Caldera, we believe in the power of creativity. Our mission is to inspire and support youth from underserved rural and urban communities by awakening the potential of their creative voice. We do this through a unique fusion of art, environment and mentorship. Our Youth Program provides students from Portland and Central Oregon with long-term relationships with caring adults, which nurtures individual creativity, beginning in sixth grade and continuing into young adulthood.

Caldera has a $4.9M budget, a 19-member board, 21 full-time year-round employees, and a range of seasonally contracted artists and staff. Its administrative office is located in Portland, Oregon, and its Arts Center is located outside of Sisters in Central Oregon.

Position Title: Facilities Hospitality Specialist

Supervisor: Guest Experience Manager

Full-time: (37.5 hours/week) Typical Schedule 10AM-6PM Wed-Sunday, but dynamic with group calendar. On-call overnight emergency contact on Thursday, Friday, and Saturday or as scheduled.

Work Location: Caldera Arts Center, 31500 Blue Lake Dr, Sisters, OR 97759. We prefer that the person in this position live on-site in Caldera-provided housing, though this is not a requirement. Onsite overnight is a requirement while guests are on site (Approximately 50-60% of the year).

Compensation & Status: $54,765-$66,935, exempt. Benefits include: open PTO , health, dental, and vision insurance (95% employer paid for employee, 15% employer paid for dependents), 403(b) retirement matching, flexible spending account (with employer contribution), long-term disability, short-term disability, life insurance, paid parental leave.

Optional on-site housing: 2BR/1BA cottage, large garage, utilities included, would be taxable

This position is expected to begin in early October, but can start sooner depending on candidate's availability.

Position Description

This is a hands-on, service-oriented role that plays a critical part in maintaining Caldera’s unique campus near Sisters, Oregon. The Facilities Hospitality Specialist ensures that guest spaces are clean, comfortable, and functional, supporting everything from artist residencies to youth programs and private paid experiences. This position involves physical work—including room resets, light maintenance, cleaning, stocking, and setup for events—as well as some administrative tasks like vendor coordination, guest communication, and logistical planning. It requires comfort with both manual labor and systems organization. The role is based at our scenic Blue Lake campus and includes on-call overnight responsibilities when guests are present. Occasional travel to the Portland office and collaboration with staff across the state may be required. On-site accommodations are available during the workweek and for scheduled on-call nights.

The ideal candidate is a hands-on problem-solver who thrives in dynamic, physically active environments. They should be comfortable lifting, cleaning, moving furniture, and managing the day-to-day needs of a bustling arts and retreat campus. Just as important, they’ll bring a strong sense of hospitality, clear communication, and the ability to connect with a wide range of people—youth, artists, vendors, and Experience’s guests alike. Success in this role requires flexibility, initiative, and the ability to manage competing priorities with a calm, service-minded approach. Experience working in retreat centers, camps, or hospitality settings is essential, especially in rural or off-grid environments. While administrative skills like scheduling, inventory tracking, and digital communication are part of the job, this is first and foremost an in-person, guest-facing position.

Key Responsibilities: 

Guest Relations (40%)

  • Greeting and assistance: warmly welcoming guests or residents upon arrival and departure
  • Conduct check-in/check-out, and provide orientations.
  • Communicate arrival info, weather updates, and answer guest inquiries.
  • Assist with Artist in Residence (AiR) needs, grocery runs, and occasional transport.
  • Support event and guest preparation and act as point person during activities.
  • Serve as on-site liaison between guests and other staff.
  • Maintaining and resetting guest spaces, cabins, and common areas.
  • Oversee laundry and cleaning vendors and ensure supply restock.
  • Support preparation for and execution of events at Caldera
  • Support the year-round programming that takes place at Caldera

Facilities (34%)

  • Duties as assigned by the Guest Experience Manager in coordination with the Property Manager, assist facilities preparations before, during, and after programming, including resetting and maintaining spaces (cabins/Tamarack Hall, Hearth, Studios, etc.), restocking firewood, emptying compost buckets, collecting and putting away laundry, taking out trash and recycling, cleaning and sanitizing as needed.
  • Perform light maintenance and safety and building checks, as needed.
  • Assist Facilities team with seasonal tasks such as snow removal, seasonal structure setup and teardown, and firewood stocking.
  • Respond to on-call requests during scheduled shifts.

Additional Administrative & Organizational Duties (24%)

  • Manage office duties: mail, phones, supply orders.
  • Coordinate with vendors and assist in scheduling maintenance work.
  • Track inventory and communicate operational needs to the team.
  • Participate in meetings and cross-departmental projects.
  • Maintain accurate records and respond to inquiries promptly.

Security and Safety (1%)

  • Contribute to securing site assets and maintaining site security. Respond to safety or security concerns from staff, guests, or others onsite
  • Understand and follow safety and security policies and procedures

Racial Equity Work (1%)

  • Participate in equity-focused staff meetings, retreats, and committees
  • Support Caldera’s annual equity plans in their creation and implementation by giving feedback, serving on the Equity Team, and/or participating in activities

Requirements

Required Qualifications: 

  • Strong attention to detail and highly organized
  • Skill in keeping precise records and logistical coordination
  • Ability to maintain confidentiality
  • Must be proficient in word processing, spreadsheets, and database software and Google Apps (G-Suite)
  • Must be able to sit, stand, stoop, kneel, use arms and legs, and work on a computer and use phones for long periods of time
  • Able to regularly lift and/or move equipment and supplies weighing 50+ pounds
  • Ability to act as on-call overnight emergency contact as scheduled. During on-call hours, the person in this position must be onsite with the exception of short periods within one hour of Caldera
  • Ability to build relationships with youth, families, artists, retreats and rental guests
  • Ability to effectively communicate with different audiences (youth, staff, community partners, etc)
  • Ability to “manage up” by anticipating needs and barriers and keeping tasks on track
  • Willingness to engage in ongoing racial equity work
  • Ability to work as part of a team and support cohesion with staff in different locations
  • Positive, flexible, active problem-solver
  • Commitment to ongoing learning with a curious, solution-seeking mindset
  • Must pass a background and driving record check (Caldera considers systemic injustices when investigating findings)

Preferred Qualifications: 

  • Familiarity with commercial A/V systems
  • Previous hospitality experience, including food and beverage
  • Previous experience working with artists in a studio or performing arts venue
  • Previous outdoor recreation or adventure tourism experience
  • Previous experience working with Facilities in a multi-use or guest serving environment
