Job Description - Facilities Specialist

Description

General Summary of Duties 

Perform facilities responsibilities/duties as directed. Including but not limited to the proper installation, operation, safety, repairs, modification, construction and preservation of buildings, utilities, mechanical and electrical systems. Inspects on a scheduled basis all buildings and systems.

 

Essential Job Functions 

  • Assist auditors, vendors, examiners and alarm technicians as required.
  • Manage special projects and complete them by the required deadline. Provide update of work status to supervisor as required.
  • Monitor grounds and parking lots to ensure a professional appearance, making minor repairs as needed. Inspect buildings and grounds for needed maintenance, repair, or vandalism and report to supervisor. Shovel and salt sidewalks as needed to eliminate slippery conditions (i.e. accumulation of less than two inches). 
  • Assist vendors and alarm technicians as required.
  • Performs quarterly site visits, facilities and security surveys at all SCU owned facilities.
  • Assist with preventative maintenance programs for all facilities and security systems, including HVAC systems at all facilities, fire alarms, sprinkler systems, fire extinguisher testing, safety lighting, cameras and alarm systems.
  • Ensure that the credit union’s long term storage areas are clean, organized and maintained correctly.
  • Assist with the administration of the credit union’s facilities ticketing system.
  • Check building lights, emergency exit lights, emergency flood lights, and clocks regularly (at least monthly) and replace lamps and batteries as needed. Replace flag as needed. 
  • Under the direction of the manager, secure bids for repair and maintenance not performed internally such as electrical repairs, yard service, snow removal, sidewalk repair, parking lot, sealing, striping, and repair and cleaning. Contact contractors for major repairs and follow up to ensure work was completed satisfactorily. 
  • Maintain list of contractors and update as needed. Monitor all contractors to ensure proper job performance and cost effectiveness.
  • Keep all areas within the credit union organized and professional looking. Make changes and/or recommendations as necessary. Maintain work area and all other miscellaneous areas including storage areas, and stairwells.
  • Maintain and monitor all Generators within the credit union and ensure proper maintenance and preventative maintenance is completed.
  • Monitor need for pesticide application and sprays for pests as needed. Drain air compressor in mechanical room weekly. Wash Kiosk machines monthly during summer months.
  • Update Material Safety Data Sheet (MSDS) information to Human Resources annually.
  • Responsible for the distribution of deliveries.
  • Perform other job-related duties as assigned.

  • Place documents that need to be shredded in the proper area for shredding. 
  • Maintain knowledge of and follow the established process for key control, security, and the security of all codes and procedures related to office security. Open and close office by disarming and arming alarms, as established procedures require. 
  • Maintain total working knowledge of department. Complete necessary logs.  
  • Maintain thorough knowledge and understanding of credit union policies/procedures that are necessary for performing job duties, including but not limited to Negotiable Instrument Reference & Guidelines, NACHA, BSA, and OFAC. 

Core Competencies

  • Reasoning: apply rational method of problem solving to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, blueprint, or schedule form.
  • Math: add, subtract, multiply, and divide all units of measure. Perform the four operations with like common and decimal fractions. Compute ratio, rate, and percent. Draw and interpret bar graphs. Perform arithmetic operations involving all American monetary units.
  • Language – read a variety of books and magazines. Write reports and essays with proper format, punctuation, spelling, and grammar, using all parts of speech. Speak before an audience with poise, voice control, and confidence, using correct English and well-modulated voice.

Position Specific Competencies

  • Must be able to effectively work on several projects simultaneously.
  • Should have the ability to prioritize and organize work.
  • Must have the ability to work effectively with management and staff. 
  • Must have the ability to work effectively with people and project a good image of the credit union. 
  • Computer and PC literacy is required.

Requirements

Minimum Qualifications 

  • Education: A high school diploma or equivalent. 
  • Experience: A background in building upkeep, small equipment repair and grounds upkeep is desirable. Previous experience in securing bids from contractors and vendors is desirable.
