Job Description - Facilities Specialist


This position is in San Diego, CA. Acadia's hybrid model requires this role to work in our office on average three days per week.


Position Summary:


Leads the development and execution of key facilities initiatives, including the implementation of workplace technologies such as the Envoy desk reservation and office occupancy system. Establishes and standardizes global best practices and policies that support an innovative, flexible, and operationally efficient office footprint across regions.


Primary Responsibilities:



  • Oversee the use of and maintenance of Envoy desk reservation & occupancy platform

  • Troubleshoot booking issues and ensure smooth user experience

  • Develop a phased plan, including a change management communications plans for office moves

    • Seating moves within existing offices

    • Bringing new offices online

    • Decommissioning of the office space we are vacating



  • Work cross-functionally with HR and department leads to assign seating based on team structure, company policy, and culture

  • Maintain master employee list, including

    • Name, department, location



  • Analyze usage data to optimize space allocation

  • Track facility usage metrics and generate reports for leadership

  • Develop project timelines, budgets, and stakeholder communication plans


Education/Experience/Skills:



  • High school diploma or equivalent with 4+ years of relevant facilities experience, preferably in a biotech environment. Experience in the maintenance/facilities trades, formal apprenticeship, or on-the-job training, preferred.

  • Knowledge of general facilities safety practices and procedures.

  • Valid driver’s license, and ability to operate a motor vehicle.

  • Ability to manipulate equipment and materials up to 25 pounds.

  • Ability to read and understand facilities maps

  • Proficient in Microsoft Office (Word and Excel), Smartsheet experience preferred.


Physical Requirements


This role involves regular standing, walking, sitting, and the use of hands for handling or operating equipment. The employee may also need to reach, climb, balance, stoop, kneel, crouch, and maintain visual, verbal, and auditory communication in a standard office environment and while working independently from remote locations. The employee must occasionally lift and/or move up to 20 pounds.  This position requires the ability to travel independently overnight and/or work after hours as required by travel schedules or business needs
