Facility Safety & QHSE Compliance Coordinator

Position Overview: This role combines facility safety supervision with quality, health, safety, and environmental (QHSE) administrative functions. The position is responsible for ensuring a safe working environment throughout the facility while also managing QHSE documentation, training records, and system maintenance to support overall compliance and operational excellence.

Key Responsibilities:

Safety Program Management & Facility Supervision

• Develop and implement safety programs, policies, and procedures to prevent accidents and incidents in the facility area.
• Conduct regular safety inspections to identify potential hazards and ensure compliance with safety regulations.
• Investigate accidents, incidents, and near misses, identifying root causes and implementing corrective actions.
• Supervise and monitor the performance of facility employees and contractors in relation to safety and compliance.
• Be prepared to respond to emergencies and ensure proper emergency response procedures are followed.

Documentation & System Administration

• Manage submittals, requirements, and Requests for Information (RFI) for projects.
• Maintain accurate records of safety inspections, incidents, and training activities.
• Support the QHSE department with administrative tasks including scanning, reconciliation, filing, archiving, and retrieval.
• Maintain company systems ensuring all administration databases and tracking tools are up to date.

Training Management

• Provide safety training and education to employees and contractors.
• Manage E-Learning and Electronic QHSE Management System (EQMS) accounts.
• Follow up on certificates and upload training records to EQMS.
• Maintain training matrix and report on training status to management.
• Release training records as required and document releases.

EQMS Maintenance & Continuous Improvement

• Support uploading documentation on platforms and reviewing records.
• Assist with EQMS equipment manager functions.
• Participate in SOP and form reviews.
• Implement regular updates to EQMS.
• Identify and assess potential hazards, implementing appropriate controls to mitigate risks.

Communication & Compliance

• Communicate safety information to employees, contractors, and management.
• Collaborate with other departments to address safety concerns.
• Ensure compliance with all relevant HSE laws, regulations, and company policies.

Requirements:

• Associate’s degree in health and safety or related technical field
• Thorough understanding of relevant HSE laws, regulations, and standards
• Experience in implementing safety programs and conducting incident investigations.
• Highly organized with strong attention to detail and process orientation
• Strong communication and interpersonal skills for effective interaction with all stakeholders
• Leadership ability to supervise facility personnel in safety and compliance matters.
• Proficient working knowledge of Microsoft Office, Teams, Forms suite, and QHSE Management programs (Safetyculture, HSI, or similar.)
• Minimum 2 years’ experience in a similar HSE or document control role
• Spanish language skills are a plus.

Preferred Qualifications:

• Specialist in Safety and Health (SSH) or higher, Safety Trained Supervisor (STS or STSC), CHST, OHST, GSP (Graduate Safety Professional) or TSP (Transitional Safety Practitioner) 
• ISO 9001 Training 
• First Aid, CPR, AED Certifications
