Job Description Summary:

Reporting to the Associate Dean of Finance and Administration, the Faculty Lifecycle Manager provides leadership, coordination, and oversight of all faculty personnel processes across CDSP, supporting the departments of Applied Science, Data Science, Computer Science, and Physics.

The Faculty Lifecycle Manager is responsible for administering and continuously improving faculty personnel processes within CDSP. This position manages the full faculty lifecycle processes: including faculty recruitment, onboarding, faculty merit & course evaluations, faculty verifications, coordinates promotion and tenure cases, manages faculty records and data systems, processes academic leaves and separations - ensuring compliance with university and accreditation policies and alignment with best practices. The position provides guidance to department chairs, hiring committees, and administrative staff on faculty policies, procedures, and timelines. It also plays a central role in maintaining data integrity, supporting strategic decision-making, and ensuring compliance with institutional and regulatory requirements.

Key Responsibilities
• Manage end-to-end faculty lifecycle processes, including recruitment, promotion and tenure, contract renewals, leaves, and retirements.
• Serve as subject matter expert on faculty personnel policies and procedures, advising academic leadership and staff.
• Coordinate faculty recruitment activities, including job postings, search approvals, offer letters, and onboarding.
• Oversee promotion and tenure processes, ensuring compliance with university and school-level policies and deadlines.
• Manage faculty records and data systems, ensuring accuracy, confidentiality, and compliance with records retention policies.
• Develop and manage course evaluations throughout the academic year.
• Coordinate and support the faculty merit review process, including timeline management, data preparation, documentation, and submission workflows.
• Lead and manage the faculty verification process to ensure compliance with accreditation standards, including credential validation and documentation of qualifications.
• Liaise with Human Resources, the Provost’s Office, and other central units on faculty-related matters.
• Develop and implement process improvements to enhance efficiency and effectiveness of faculty personnel operations.
• Provide training and guidance to department administrators and staff on faculty lifecycle processes.
• Monitor deadlines and deliverables for key faculty actions.
• Support reporting and analysis of faculty data for leadership decision-making.

Job Description:

Required Qualifications:

  • Bachelor’s degree or equivalent combination of education, experience, and training.

  • Experience in higher education administration, human resources, or faculty affairs.

  • Demonstrated experience with process improvement and data analysis.

  • Demonstrated experience managing complex administrative processes and workflows.

  • Strong knowledge of personnel policies, procedures, and compliance requirements.

  • Ability to handle sensitive and confidential information with discretion.

  • Excellent organizational skills with the ability to manage multiple priorities and deadlines. 

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office Suite and experience with enterprise systems (e.g., Workday or similar).

  • Ability to interpret policies and provide guidance with minimal supervision.

Preferred Qualifications:

  • Master’s degree or advanced training in higher education administration, business, or related field.

  • Several years of progressively responsible experience in faculty affairs or academic administration.

  • Experience with faculty recruitment, promotion and tenure, or lifecycle processes.

  • Familiarity with faculty information systems (e.g., Faculty Success, Banner, Explorance/Blue, Faculty Success, Workday).

  • Experience working in STEM or research-intensive academic environments.

Conditions of Employment:

  • This position may require working outside of normal business hours, including evenings, weekends, and holidays.

Job Duties:

30% - Faculty Recruitment Management:

  • Coordinate and manage faculty recruitment processes, including position creation, postings, and hiring approvals.

  • Oversee onboarding of new faculty, ensuring completion of all required documentation and processes.

  • Manage faculty contracts, renewals, and appointment changes.

  • Ensure compliance with university and school policies throughout the hiring process.

  • Serve as liaison with HR and Provost’s Office for recruitment and hiring actions.

25% - Promotion, Tenure, & Faculty Actions:

  • Coordinate promotion and tenure processes, including timelines, dossier management, and approvals.

  • Manage faculty lifecycle actions such as leaves, tenure clock extensions, retirements, and emeritus status.

  • Ensure accurate and timely submission of materials for required approvals (e.g., Dean, Provost, Board).

  • Provide guidance to departments on policies and procedures related to faculty advancement.

15% - Evaluation, Merit, & Accreditation Compliance:

  • Administer the school-wide course evaluations, including scheduling, communications, and reporting.

  • Support leadership and departments in interpreting and utilizing evaluation results in the faculty merit process.

  • Lead the faculty verification process to ensure all faculty credentials meet accreditation standards.

  • Maintain documentation and audit-ready records for accreditation and compliance reviews.

15% - Data, Records, & Compliance Management:

  • Maintain accurate faculty records across systems and ensure data integrity.

  • Prepare and validate data used in faculty merit, evaluation, and accreditation reporting.

  • Oversee faculty data reporting and verification processes.

  • Ensure compliance with records management and confidentiality requirements.

  • Generate reports and provide data insights to support leadership decision-making.

15% - Training, Communication, & Process Improvement:

  • Develop and deliver training materials and guidance for faculty personnel processes.

  • Communicate updates to policies, procedures, and deadlines to stakeholders.

  • Identify opportunities for process improvements and implement best practices.

  • Support strategic initiatives within the Dean’s Office related to faculty affairs.

Posting Range: Up to $85,000 commensurate with experience and internal alignment
