Family Time Program Coordinator

Description

The Clarvida Family Time Program provides supervised visitation services for parents who may have experienced concerns with Abuse/Neglect in their parenting and may be involved with the Child Welfare System. The Family time Program Coordinator provides supervisory and administrative support to the program director, including, but not limited to, assisting with training and shadowing of new staff, assistance with billing duties, assistance with ongoing data tracking, and other administrative tasks as assigned.

Supervisory:F

• Assist with recruitment, hiring and training of new team members, with the support of the Director of Family time Programs
• Ensure completion of needed onboarding items and orientation for new workers
• Develop and coordinate ongoing training/ group supervision agenda for Family time staff
• Provide individual and group supervisions for staff as defined by protocol
• Review visitation documentation for quality assurance
• Crosscheck timesheets, core logs and visitation summaries to ensure accuracy for billing and submission to County Departments
• Review and assign visitation referrals from CORE contracts or private pay referrals
• Continually assess and develop methods to improve performance of visitation facilitators with the support of the Director of Family time Programs
• Respond to conflicts or concerns pertaining to Family time Facilitator performance
• Provide performance evaluations according to guidelines for newly hired visitation facilitators and for KPI reviews
• Oversee program lead facilitators
• Oversee program administrative assistant

Administrative:

• Participate in and complete all required trainings, achieving 20 training hours annually. 
• Complete and submit accurate core logs, timesheets, and expenses/mileage on required dates and other documentation as required 
• Complete session documentation according to program standards and timelines 
• Assist with billing tasks and compilation of program statistics, as requested
• Assist with file audits
• Other duties as assigned to support programmatic functions and quality service delivery

Program Expectations:

• Attend and actively participate in Family time Program team meetings 
• Appropriately access and utilize supervision resources 
• Adhere to all HIPAA guidelines as well as agency compliance standards
• Work a flexible schedule including evenings and weekends
• Report immediately any incidents of alleged abuse or neglect 
• Ensure prompt communication and scheduling of appointments, such as intake/orientations and visitation schedules and document all case related correspondence in the appropriate electronic health record 
• Complete documentation within required timeframes and ensure billing and productivity are within established program guidelines  
• Support training and shadowing of new hire staff as requested by supervisor 
• Other duties as assigned and are necessary to support program and agency functions

Education

              Required:

• Minimum: Bachelor’s degree in human services, social work, or related field

            Preferred:

• Master’s degree in Social Work, Counseling, or related human services degree

Experience

• 1 year experience working with children and families, preferably those involved with the child welfare system
• Job experience preferred in one of the following fields:  human relations, social services, behavioral/social sciences, nonprofit, education, or child development

Certificates, Licenses, Registrations

• Proof of valid Driver License with clean driving record, as well as valid auto insurance
• Ability to pass fingerprinting and background checks

• Effective organizational skills including the ability to think clearly and logically; to problem solve effectively; written and oral communication skills; and the ability to function with minimal supervision.
• Knowledge of local agencies and other community resources that may serve youth, families, and foster care services.
• Experience with crisis intervention and conflict resolution, knowledge of child development and child welfare system 
• Ability to autonomously create and manage a schedule which accommodates family needs and meets expectations of the referring party
• Comfortable with learning and utilizing new technology resources including Avatar, Trails, and other such systems
• Demonstrated ability to train and supervise others
• Detail oriented in documentation and communication
• Strong interpersonal and customer service skills, as well as ability to collaborate with teams
• Maintain a high degree of professionalism regarding demeanor, language, communication, and boundaries with co-workers and clients
• Effective, respectful, and professional written and verbal communication
• Rapport building and maintenance with youth, adults, employees, and child welfare/court professionals
• Professional boundaries and self-care routines and ability to support others in setting appropriate boundaries
• Knowledge of Microsoft Office (Excel, Word, Outlook), adequate typing skills, and basic computer skills
• Knowledge and use of phone, copier, and other office equipment.  
• Ability to properly install and use car seats and other child vehicle restraint systems
• Understanding and application of Trauma Informed Care
• Capacity to complete all required training components for position

• Bilingual is a plus but not required

• Field-based and/or general office environment (locations may vary)
• While performing the duties of this job, the employee is frequently required to stand; walk and sit. 
• May be required to occasionally lift and/or move up to 25.
• Requires significant use of computer, tablet, phone and/or general office equipment.
• Needs adequate visual acuity, ability to grasp and handle objects.
• Needs ability to communicate effectively through reading, writing, and speaking in person or on telephone.
• Position requires off-site travel for meeting, county and client needs.
• Ability to operate and have access to a safe and reliable vehicle at all times. Willing and able to drive in various road and weather conditions. Will use personal car or vehicle as required for travel and/or transportation.
