Provides administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.



Duties

• Answer and direct phone calls; respond to email, telephone, and face-to-face inquiries.
• Organize and schedule meetings, appointments, conference calls, and travel arrangements for staff and senior managers.
• Prepare, edit, and distribute correspondence, memos, letters, reports, presentations, forms, and meeting minutes.
• Maintain organized filing systems (digital and physical), contact lists, and databases.
• Carry out administrative tasks such as typing, copying, binding, scanning, photocopying, and printing documents on behalf of colleagues.
• Order and maintain office supplies inventory; coordinate with vendors, verify receipts, and anticipate future needs.
• Ensure operation of office equipment by arranging maintenance, repairs, and evaluating new equipment or techniques.
• Submit and reconcile expense reports; prepare and monitor invoices; support budget tracking.
• Greet, assist, and provide general support to visitors, ensuring a professional office environment.
• Handle sensitive and confidential information with discretion.
• Research, prepare presentations, produce reports, and support assigned projects.
• Coordinate and improve office procedures; provide guidance to administrative staff to support professional development.
• Contribute to team success by accomplishing related results and supporting collaborative goals.

• High school diploma or general education degree GED.
• The Team Member must regularly lift and/or move up to 50 pounds.
• Follow instructions without close supervision.
• Must be able to work weekends and holidays as needed.
• Required to pass a background screen, drug test, and prove eligibility to work in the United States.
