Job Description - Field Assistant III - Seattle Education Association (Internal Candidates Only)

Council Description


The Seattle Education Association (SEA) is a diverse 6,000-member Local/Council comprised of certificated, paraprofessional, and office professionals – including substitutes – who work for Seattle Public Schools.  SEA is a member-driven and member-led organization that works with a high degree of collaboration and teamwork between SEA staff and leaders.


 


The SEA is the collective voice of educators working in union where members across all identities are full participants in decisions to address the legacy and continuing impacts of systemic racism in order to improve educator working conditions and transform our schools.



Job Summary


The Field Assistant III is responsible for creating and analyzing financial reports, ensuring legal requirement compliance, processing accounts payable and receivable, managing invoices and tax payments, ensuring financial data and compliance by maintaining accurate books, expenses, daily financial entries and reconciliations, and building management oversight.  Additionally, the Field Assistant III maintains and ensures the complete and systematic processing of accounting records, regulatory requirements, and membership records.


 


A successful candidate is an integral part of the SEA team maintaining the highest level of accuracy and responsiveness for financial record keeping and account processing.  Additionally, the Field Assistant III provides support for the Council’s strategic goals by assisting governance, the Executive Director, building representatives, members, and staff through problem-solving, researching questions, providing information, reports and material support, administrative and clerical support, and other support as needed.

Responsibilities:




    • Prepare financial reports, bank reconciliations, payments, and deposits as required.

    • Maintain general ledger, equipment inventory, lease agreements, and building and equipment insurance coverage.

    • Coordinate and prepare documents for the annual audit, regulatory and tax filings, and other reports as needed.



    • Assist the Council President, Treasurer, and Executive Director in the preparation, monitoring, reporting, and presentation of Council budgets.

    • Track and assist with reporting of various grants.

    • Review and process expense reports.

    • Identify, track, and ensure compliance of regulated expenditures that are reportable to the Public Disclosure Commission (PDC).

    • Collect, record, and maintain information pertaining to membership dues, dues status, and demographic data; provide reports when necessary.



    • Prepare monthly billing of membership for district payroll and processes dues.

    • Process and maintain membership records for members.

    • Provide budget and QuickBooks training and assistance to the Local and department Treasurers.

    • Organize Council events and track and follow through with action items and deadlines; arrange travel and meeting activities.

    • Coordinate and manage building facility and tenant relations.

    • Maintain permanent records of the Council.

    • Prepare communications for Council business.

    • Support and maintain relations with outside agencies and organizations for ongoing communications.

    • Provide administrative support as needed for SEA governance and leadership.

    • Other duties as assigned.



    Minimum Qualifications:



    • High school graduate or GED equivalent.

    • Demonstrated success as an administrative professional, in bookkeeping, or equivalent.

    • Experience in bookkeeping, accounting, or administrative assignments involving advanced record keeping and knowledge of accounting practices and accepted accounting procedures.

    • Competence with computerized accounting software.

    • Strong interpersonal skills, including experience in dealing with members or customers.

    • Experience with the regulatory requirements of non-profit corporations.

    • Demonstrated history and/or experience working with communities of color and/or with historically underrepresented groups.

    • Ability to keep sensitive information confidential.

    • Self-starter; strong communication, organizational, and time management skills.

    • Work in person in the Seattle EA office located at 5501 4th Avenue South, Suite #101, Seattle, WA 98108.

    • Washington residence is required.

    • Proof of vaccination or granting of an approved exemption is required.



    Preferred Qualifications:



    • Experience in public education, unions, or related employment.

    Supervision


    The successful incumbent will function as a member of the Seattle Education Association staff and the Advocacy & Organizing Center of the Washington Education Association.  The Field Assistant III will report to the Executive Director of the Seattle Education Association.
