Job Summary
The Field Experience Coordinator works in the Admissions department implementing Ecology Project International’s marketing, recruitment, and sales strategies and collaborating with program offices to coordinate visiting student courses at US and international field sites. This position is responsible for forming and maintaining partnerships with teachers and schools, supporting student recruitment and enrollment, and acting as a liaison between EPI’s program offices and school groups. Responsibilities
Direct Marketing & Sales (40%)
Outreach and sales
- Manage 10,000+ leads during two annual marketing campaigns
- Cultivate and manage relationships with new schools, teachers, organizations, and students
- Negotiate partnership terms and develop institutional engagement strategies
- Customize marketing materials and provide recruitment support to teachers on an ongoing basis
- Utilize incentives, scholarships, and special offers to recruit student participants to enroll in EPI’s field-science programs
- Maintain e-mail and phone communication regularly with all managed accounts and leads
- Assist in preparation, execution, and follow-up for new lead acquisitions
Informational & Recruitment Events
- Plan, promote, and host informational events for students, parents, and teachers in person or through video conference
- Answer questions about EPI’s methods, enrollment process, academic content, and course logistics
School visits & Conferences
- Make travel arrangements, plan logistics, and co-develop materials for recruitment events
Program Support (30%)
Course coordination
- Create season calendars and schedule groups for 7-15 day field courses at all EPI program sites
- Maintain regular communication with program offices regarding itineraries, scheduling, course activities, research projects, lodging, and curriculum
- Gather and provide group information to program offices prior to course and solicit post-course feedback on experience and preparedness
Airfare coordination
- Work with Participant Experience team and external travel organization to schedule and purchase air travel for 200+ participants within the site-specific parameters
Teacher Fellowships
- Review applications and help select 30-50 teachers to participate in annual teacher fellowship courses
- Prepare 10-15 teacher fellows for their field course
- Participate in an annual 8-day teacher fellowship course to build relationships with new schools and increase student recruitment
24 Hour Phone
- Periodically serve as Duty Officer on the 24-hour/ERS cell phone and provide support as an incident responder
Administrative Support (30%)
Customer Service
- Address inquiries and concerns from teachers, students, families, and other prospective participants
- Coordinate with the Participant Experience team on paperwork and payment collection
Systems Support
- Maintain participant database by updating pages, adding new information, and tracking communication
- Contribute to cross-functional efforts to refine communication, marketing, or enrollment systems
Marketing Support
- Assist in annual update of key external marketing collateral
- Support the Marketing Manager through integrated marketing and recruitment campaigns
Special Projects & Other Tasks
- Help facilitate additional responsibilities based on team needs and personal interest, examples include managing our individual student travel engagement, awarding & reporting on financial aid and scholarships, course evaluation reporting, college credit facilitation, staff engagement & retreat planning.

Qualifications
Required:
- Bachelor’s degree or 2 years of sales experience
- English language fluency
- Enthusiasm for teamwork and a goal-oriented attitude
- High degree of organization, persistence, and attention to detail
- Ability to cultivate strong and lasting relationships
- Excellent written and verbal communication skills
- Ability to work independently
- Excellent time management skills, including the ability to simultaneously complete discreet projects while maintaining quick response times for existing accounts & new leads
- Ability to exercise sound judgement and apply professional, common-sense solutions to everyday challenges

- Commitment to the mission and goals of EPI
Preferred:
- Degree in sales, marketing, communication, or science education
- Spanish language fluency
- Experience with experiential education, inquiry-based learning, and/or classroom teaching
- Experience living and working in Latin America, especially Mexico, Belize, Costa Rica, and/or Ecuador
- Experience with CRM systems
- Experience with collaborative project management programs like Asana, Teamwork, or Trello
- Experience with graphic design programs like Adobe Creative Cloud or Canva
- The ideal candidate will be confident, outgoing, well-spoken, creative, and motivated
Schedule & Location
The Field Experience Coordinator position is full-time (40 hours/week) with office hours typically from 9 am to 5 pm, with occasional travel for conferences, teacher fellowships, and school visits. This position must be able to report to one of EPI’s offices in Missoula, Montana, La Paz, Mexico, or San Jose, Costa Rica.
Compensation
$41,344-42,814 USD per year, depending on experience, according to the EPI compensation philosophy. If the candidate is hired in Costa Rica or Mexico, the internal salary ranges for those countries will apply. This position is eligible for a generous benefits package that includes 32 days of paid time off per year, health insurance, retirement, professional development, and other benefits as detailed in EPI’s Employee Handbook.
