Our finance and administration team is responsible for maintaining a strong foundation for the organization and its work. The FAA Coordinator is a key member of the FAA Team performing a variety of duties that support the smooth operation of the office and organization. This position can potentially grow into an office manager or finance manager position, depending on interest and specialization.
JOB RESPONSIBILITIES
Operations and Administrative Support – 50%
Open and distribute daily mail + process checks
Manage Tilth’s primary information email and phone line
Manage reservation system for common spaces at the Good Sheperd Center
Supplies ordering for both Tilth Alliance office locations: Good Shepherd Center and Rainier Beach Urban Farm and Wetlands
Maintain business insurances and monitor business compliance calendar
Handle requests for Certificates of Insurance
Schedule All Staff Meetings
Backup support for summer shuttle between office locations
Maintain paper filing system
Ensure all common areas (the Hive, kitchen, conference room etc.) are well maintained and organized
Oversee office cleaners
Manage staff recognition (birthdays, work anniversaries)
IT Support – 20%
Maintain IT & equipment vendor relations (printer, copier, phones, postage meter)
Manage IT inventory (laptops, iPads, hotspots, mics, walkie-talkies etc.)
Basic IT support for staff – including Microsoft 365 and Teams administration
Coordinate with IT external contractor
HR Support – 10%
Update and maintain staff roster and personnel files
Assist with employee onboarding as needed
Finance Support – 20%
Process employee timesheets for bi-weekly payroll in Quickbooks
Run weekly Accounts Payable, enter monthly credit card transactions
Enter monthly online deposits
Assist Finance Manager as needed
IDEAL CANDIDATE WILL:
Have a minimum of 1 year administrative and office support experience
Have excellent organizational skills and attention to detail
Be proactive, dependable, approachable and accountable
Handle confidential information with care and discretion
Be a proven problem solver
Have experience with Quickbooks or ability to become proficient with basic bookkeeping functions
Be proficient in all applications of Microsoft Office suite, particularly Outlook, OneDrive, Microsoft 365, and Teams, and ability to self-train to increase IT expertise
Be self-directed; able to work independently
Be a collaborative team player
Have a dedication to equity and social justice
Be passionate about the work of Tilth Alliance
This is a full time (40 hours/week) non-exempt position that requires occasional evening and weekend work. It is eligible for benefits including medical, dental, employee-funded Flexible Spending Account, 401k, paid vacation starting at 3 weeks/year, sick and holiday time. This position will be based at the main office in Wallingford, with flexibility for some remote work days (minimum 3 days/week in office).
Compensation $23 per hour
