JOB SUMMARY


The Finance and Grants Manager is responsible for assisting the Finance Department with a focus on tracking, reporting, and documentation associated with federal grants awarded to Special Olympics Kansas (SOKS). This position serves as the primary financial liaison between program staff, finance, and grant administrators to ensure grant funds are properly managed, expenditures are allowable, documentation meets federal standards, and reporting deadlines are consistently achieved.


This position plays a critical role in protecting the organization's financial stewardship while maximizing the impact of grant-funded programs serving individuals with intellectual disabilities throughout Kansas.


ESSENTIAL DUTIES, FUNCTIONS, AND RESPONSIBILITIES


Federal Grant Financial Management



  • Monitor budgets for assigned federal grants to ensure expenditures remain within approved funding limits.

  • Review expenditures for allowability, allocability, reasonableness, and compliance with federal Uniform Guidance (2 CFR Part 200).

  • Monitor grant spending and provide regular budget-to-actual and variance reporting to leadership and program managers.

  • Assist with budget modifications and grant amendments when necessary.

  • Prepare financial reports required by federal agencies and pass-through entities.


Compliance & Documentation



  • Maintain complete financial documentation supporting all grant expenditures.

  • Organize digital and physical grant files for audit readiness.

  • Ensure invoices, receipts, contracts, payroll allocations, and supporting documentation meet federal documentation standards.

  • Assist in developing and maintaining internal grant compliance procedures.

  • Monitor matching fund and cost-share requirements when applicable.


Payroll & Cost Allocation



  • Coordinate payroll allocations charged to grants.

  • Review employee time and effort documentation to ensure compliance with grant requirements.

  • Assist in maintaining accurate indirect cost and cost allocation records.


Collaboration



  • Work closely with program managers to understand grant activities and projected expenditures.

  • Provide guidance to staff regarding allowable expenses and purchasing procedures.

  • Participate in grant planning meetings to ensure financial compliance throughout the life of each award.


Audit Support



  • Prepare documentation requested during annual financial audits, Single Audits, and grant monitoring visits.

  • Respond to auditor requests related to federal grants.

  • Assist in implementing corrective actions resulting from audit findings, if applicable.


Financial Administration



  • Assist with monthly reconciliations related to grant accounts.

  • Maintain accounting records and document retention systems.

  • Track and record grant-related obligations and expenditures to ensure accurate financial reporting and compliance.

  • Support annual budgeting for grant-funded programs.

  • Assist with year-end financial closing related to grants.

  • Perform other finance and accounting duties as assigned.


General Accounting & Finance Support



  • Review accounts payable and expense reimbursements for accuracy and compliance.

  • Assist with account reconciliations.

  • Help maintain the general ledger and supporting schedules.

  • Coordinate with payroll regarding grant-funded personnel costs.

  • Support fixed asset tracking and inventory documentation.

  • Assist with procurement documentation and vendor management.


EDUCATION & RELATED EXPERIENCE




  • Bachelor's degree in Accounting, Finance, Business Administration, or related field.

  • 2+ years of accounting or nonprofit finance experience.

  • Experience managing budgets and financial reporting.

  • Strong attention to detail and organizational skills.

  • Advanced proficiency with Microsoft Excel.

  • Ability to interpret financial reports and budgets.

  • Excellent written and verbal communication skills.


Preferred



  • Experience administering federal grants.

  • Knowledge of Uniform Guidance (2 CFR Part 200).

  • Experience with nonprofit accounting.

  • Experience supporting Single Audits.

  • Familiarity with accounting software, such as QuickBooks or similar systems.

SUPERVISORY RESPONSIBILITIES AND INTERACTIONS WITH OTHERS


The Finance and Grants Manager does not supervise any staff. However, they will interact daily with leadership, coworkers, volunteers, corporate and individual donors, and the general public.

Hand-eye coordination is necessary to operate computers and various pieces of office equipment.


WORKING CONDITIONS


This job requires minimal travel locally, This role will work mostly in regulated inside climate. This position, as well as other administrative staff of Special Olympics Kansas, must operate with a time-frame concept of "whatever time it takes to insure quality results".
