OVERVIEW
The Finance & HR Coordinator is primarily responsible for the daily maintenance of accounts receivable and payable. The Finance & HR Coordinator is responsible for verifying the accuracy of accounts receivable between Development and Finance and ensuring they are entered into our accounting software. This role is also responsible for ensuring all payables are entered and paid, on a timely basis, for both student and general accounts. This role also provides support to the Senior Finance & Payroll Manager, by assisting with maintenance of personnel files, handling day to day BambooHR requests, completing monthly closing and quarterly reconciliations, and preparing files for the annual audit.
ESSENTIAL DUTIES
Finance (75%)
- Verify the accuracy of daily deposit information against Development software
- Ensure accurate entry of daily deposit information into QuickBooks
- Maintain and ensure strong communication and teamwork with the Development team
- Maintain accurate gift card inventory and distribution data
- Complete monthly gift card reconciliation and prepare journal entry in QuickBooks
- Prepare and verify allocation of credit card receipts are accurate
- Ensure timely entry of all credit card purchases into QuickBooks on a weekly basis
- Communicate consistently and professionally with staff regarding credit card usage, missing receipts, and document submission
- Record necessary journal entries related to accounts payable and receivable, including voided checks, ACH payments, etc.
- Verify all allocation and approval information for payables
- Ensure timely entry and payment of general payables into QuickBooks on a weekly basis
- Ensure payment of client payables on a daily basis and communicate necessary information to the appropriate Program team members
- Assist with pulling and preparing documentation for annual internal fraud assessment and external audit
- Assist Sr. Finance & Payroll Manager and Grants Manager with identifying and expensing restricted and designated funding
Human Resources (25%)
- Create and maintain physical HR and personnel files for new staff
- Assist with quarterly review and update of personnel files
- Assist with maintaining log for destruction of HR and personnel files based on our organization’s retention plan
- Assist with basic requests in BambooHR, such as updated information approvals, submission and receipt of signature requests for various documents, and accuracy of document location and naming within the software
REQUIRED QUALIFICATIONS
- Deeply held passion for and commitment to the mission of Youth On Their Own.
- Two years of Accounting/Bookkeeping experience or office management experience
- Intermediate knowledge of Microsoft Office, primarily Excel and Word
- Ability to operate a computer and other office productivity machinery, such as calculator, copy machine, and printer
- Ability to communicate clearly and accurately with other staff about procedures, documentation, billing, etc.
- Ability to recognize and assess various finance and HR documents and identify corrections to be made
- Ability to maintain confidential files, records and correspondence (both verbal and written) per Organization and Legal policies
- Ability to concentrate with frequent interruptions or distractions
- Ability to maintain regular and punctual attendance
- Ability to work cooperatively and professionally with others
- Ability to comply with all company policies and procedures
- Ability to pass a background check with no felony convictions connected to theft or embezzlement or any conviction related to child abuse or misconduct
- Valid driver’s license, clean driving record, access to own auto (mileage reimbursement provided), and proof of auto insurance
- Ability to receive Fingerprint Clearance Card. Being subject to sex offender registration in any state or federal jurisdiction automatically precludes individuals from obtaining a Level 1 Fingerprint Clearance Card and employment with YOTO.
WORKING CONDITIONS
- This position requires prolonged periods of computer use / screen time and intermittent physical activity including bending and reaching
- This position requires a minimum of four days worked in the office, with one day that may be worked remotely
COMPENSATION AND BENEFITS
- Compensation for this position starts at: $42,000/year or $20.19/hour
