Jefferson Metropolitan Housing Authority (JMHA) is seeking a motivated and detail-oriented Finance Assistant to join our Finance Department. This is a full-time position that plays a critical role in supporting the financial operations of the agency and ensuring the accurate processing of resident accounts, vendor payments, and financial records.
Under the direction of the Controller, the Finance Assistant works closely with the Controller and Finance Coordinator to support daily accounting functions, maintain financial records, process resident and vendor transactions, and provide administrative support to the Finance Department. This position requires strong organizational skills, attention to detail, customer service abilities, and a commitment to accuracy and confidentiality.
Essential Duties and Responsibilities
- Manage all tenant accounts receivable, including posting payments and adjustments to resident accounts.
- Process resident move-ins, move-outs, final billings, and account reconciliations.
- Prepare and mail monthly Tenant Utility Checks.
- Maintain resident write-off accounts and records for vacated tenants.
- Review purchase orders for accuracy and completeness, ensuring required documentation and approvals are included.
- Match purchase orders to vendor invoices and verify pricing and supporting documentation.
- Assist with accounts payable processing and verification of vendor check runs.
- Review and process incoming utility bills, including gas, electric, and water invoices.
- Mail monthly Housing Assistance Payment (HAP) checks.
- Sort, date-stamp, and distribute incoming mail.
- Maintain digital filing systems and accurate financial records.
- Communicate with agency managers regarding outstanding invoices, purchase orders, and financial documentation.
- Assist with bank reconciliations, journal entries, and year-end financial reporting.
- Prepare reports and maintain financial records in accordance with agency policies and applicable regulations.
- Perform other finance and administrative duties as assigned.
Qualifications
- High School Diploma or GED required.
- Minimum of three (3) years of professional experience in accounting, bookkeeping, business administration, or a related field preferred.
- Equivalent combinations of education and experience may be considered.
- Knowledge of accounts receivable, accounts payable, bookkeeping, and financial recordkeeping principles.
- Strong attention to detail, organizational skills, and ability to manage multiple priorities.
- Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook.
- Experience with accounting software and financial systems preferred.
- Ability to communicate effectively with residents, vendors, agency staff, and the public.
- Ability to maintain confidentiality and handle sensitive financial information.
- Valid driver's license and ability to maintain insurability under the agency's automobile insurance policy.
Schedule
Full-time. Generally Monday through Friday, 8:00 a.m. to 4:30 p.m., with occasional evenings, weekends, or alternate hours as required by agency needs.
