Job Description - Finance Director


FINANCE DIRECTOR ROLE DESCRIPTION 



The Finance Director supports the Finance and Operations Pastor in the financial operations of the Church by clearly communicating the Church's financial information to those who share responsibilty, including Trustees, other volunteers and staff members; by using his/her organizational, problem solving, and communication skills; by demonstrating meticulous attention to detail and accuracy; and by ensuring that the confidentiality of records and information is upheld.

RESPONSIBILITIES



Process accounts and incoming payments in compliance with financial policies and procedures



  • Process outgoing payments on a weekly basis (Check requests)

  • Process BGCT/SBC monthly donation (ACH payment)

  • Process incoming payments on a weekly basis (Weekly deposits)

  • Perform day-to-day financial transactions including verifying, classifying, and recording account payable/receivable data (Journal entries)



  • Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted

  • Bank reconciliations

  • Generate financial reports for staff, boards, and committees as required

  • Process credit card statements/receipts monthly ensuring proper backup documentation is provided

  • Understand compliance issues around accounts payable processes (W-9, sales tax, etc.)

  • Partner with Finance & Operations Pastor with EOY journal entries

  • Manage all bank and investment accounts


 


Partner with church staff ensuring awareness of financial policies and procedures



  • Provide training/advice on financial and budgeting databases

  • Provide training/advice on check requests, credit card statement, and journal entry request procedures



Donor contributions



  • Maintain donor records in database ensuring accuracy of contributions

  • Process contributions (in person and online) on a weekly basis (Monday morning count)

  • Recognize first time contributors with a letter or email

  • Recognize donations given in memory or honor of someone

  • Process and email donor contribution statements quarterly/annually

  • Respond to donor's questions regarding their individual giving records

  • Sell and transfer proceeds from stock contributions in Schwab

  • Send stock letters to stock contributors

  • Keep envelopes stocked in giving boxes


 


Annual Tasks



  • In May, send out email to managers of departments regarding completing budget in Martus for new year.

  • Upload all approved budgets in Martus to Intacct at the beginning of the fiscal year.



  • Cooperate with Auditor to complete the annual report



Complete Additional Responsibilities



  • Assist the Missions Pastor with the Missions budget ensuring all income and expenses are accurately posted and align with the financial database reports

  • Assist the Finance and Operations Pastor and the Executive Pastor of Operations with any tasks assigned

  • Backup for the HR Director

  • Maintain business accounts with Bill/Divvy, Home Depot, Sam's, and Amazon

  • Pull color copier counts quarterly and post the journal entry



Ensure Accurate, Timely Response to Communication Requests (Phone or Email)



  • Manage email, voicemail, and communication requests in a timely, thorough manner not to exceed 1 week

  • Build trust by maintaining confidence of information

  • Respond to all communication with professionalism, discretion, and a service orientation

RELATIONSHIPS  


 


Executive Pastor of Operations: The Fianance Dircector reports indirectly to the Executive Pastor of Operations. He/she is expected to be coachable, available, and responsive to him/her while striving for a healthy, Christ-like relationship characterized by love, truth, and unity.


 


Finance and Operations Pastor: The Finance Director reports directly to the Finance and Operations Pastor. He/she receives Business Office tasks from the Pastor of Finance and Operations and is expected to be coachable, available, and responsive to him/her while striving for a healthy, Christ-like relationship characterized by love, truth, and unity.


 


The Heights Staff: The Fianance Director collaborates with other members of The Heights staff, serves as a resource and encouragement to them, and partners with them effectively to achieve maximum kingdom impact.


 


Church Body: The Finance Director embodies and exhibits servant leadership in all interactions with the church body, seeking to serve, support, and reflect the love of Christ to and for them.
