Job Title: Finance Manager

Length of Assignment: 3 months with strong possibility of extension

Shift: 8:30 am - 5:30 pm -includes a 60 min break (M-F)

Location: Los Angeles, CA

Job Description:

Required:

  • Bachelor's Degree
  • 5+ yrs. as Sr. Financial Analyst in an academic medical center, hospital system, or health care company.
  • Must be strong in contract administration

Day-to-day work breakdown

  • 50% hands-on work primarily in contract administration, 30% mentoring/helping 2 Junior Analyst, 20% special projects (could include helping the Chief Marketing Officer ready budgets for the new fiscal year, which starts July 1)

Team Make-up

  • Senior FA individual going out on leave
  • 2 Junior Analysts they focus on check requests and processing invoices for the most part
  • The biggest gap on the team is/will be contract administration, this contractor needs to fill that void

Summary Statement:

The Manager of Finance within Health Marketing and Communications organization, plans, directs, and oversees all financial operations including contracts administration, Accounts Payable operations, along with budget forecasting and management commensurate with UC policies. This position manages the Financial Specialist(s) training, tasks, as well as the evaluation of the performance and productivity of each individual. This position will also contribute to financial strategy and management by analyzing monthly variance reports, creating budget forecast reports, lead dataset preparation, statistical modeling, and insights generation. The individual must exceed customer service expectations embodying the C-I-CARE principles, as well as take initiative and proactively anticipates issues with contracts and accounting. The manager displays a sense of ownership and represents the department with the highest level of integrity and diplomacy. They are self-motivated, proactive, quick-thinking, flexible, able to pivot when necessary, thorough and able to juggle multiple and diverse responsibilities with a strong emphasis on organization, customer service and an unwavering attention to detail at all times. The position require a proactive and positive thinker who is able to exercise good judgment and work collaboratively with staff of all levels and across disciplines throughout the organization.

Skills, Knowledge and Abilities

  • Master's degree in a health care or business-related field preferred.
  • At least 5+ years of health care experience in an academic medical center, hospital system, or health care company.
  • Lean Six Sigma certification preferred.
  • Experience in preparing monthly, quarterly, and annual budget, forecast, and long-range plans.
  • Expertise with MS Office Suite (Word, Excel, Access, PowerPoint, and Outlook).
  • Proficiency in data analysis software such as Tableau.
  • Experience with Health business systems including EMPAC, Ascend eInvoice, and EPSi and business systems including Express, BruinBuy, and the Recharge System is preferred.
  • Exceptional communication, interpersonal, organizational, prioritizing, problem solving and analytical skills.
  • Ability to function at a high level of efficiency with effectiveness and attention to detail.
  • Experienced in performing while frequently interrupted or distracted by conflicting demands.
  • Required to work some evenings and weekends.

Duties and Tasks

Contracts administration support

Responsible for developing, interpreting, reviewing, negotiating and managing contracts on behalf of marketing

  1. Review and process contract proposals, estimates and scopes of work, including proposed materials, production costs, etc and determine whether they seem reasonable and accurate
  2. Ensure that all records are accurate and up to date
  3. Write contract communications and notices
  4. Verify contract terms are reviewed and approved while ensuring that projects remain within the established budget
  5. Attend meetings to assess and determine if project details are in alignment with contracts
  6. Create regular status reports regarding progress on new, existing and expiring contracts
  7. Analyze contracts to ensure they comply with UC policies, state and federal laws and regulations

Accounts payable and receivable support

Responsible for the financial processing of transactions for marketing including daily Healthcare Administrative and Support Position bookkeeping and record keeping, financial reporting and the preparation of reports for financial audits.

  1. Managing accounts payable using accounting software and other programs
  2. Handling accounts payable for separate entities and vendors
  3. Analyzing workflow processes
  4. Establishing and maintaining relationships with new and existing vendors
  5. Ensuring bills and payroll are paid in a timely and accurate manner while adhering to departmental procedures
  6. Processing due invoices for payments
  7. Establish and manage purchase orders, prices, terms of payment and other charges
  8. Processing transactions and performing accounting duties such as account maintenance, recording entries and reconciling books of accounts

Management/Administration

  1. Coaches, mentors and manages team performance
  2. Sets individual development plans and conducts reviews for team members
  3. Manages group budget, resources and priorities

If the Client extends an offer then you have taken care of the health screen process.

Vaccinations process- We will take care of the cost of Health screening and except MMR and Varicella.

Proof of a negative TB test (QuantiFERON only) done within a year of the assignment start date; if positive, evidence of a clear chest x-ray done within 3 months of start date must be provided and a questionnaire from a physician concerning no active TB must be provided along with the x-ray results.
