Summary:
The Receptionist serves as the first point of contact for students, families, and visitors to the Financial Aid Office. This position provides excellent customer service by greeting visitors, answering phones, directing inquiries, scheduling appointments, and performing general administrative support to ensure the efficient operation of the office.
Essential Duties and Responsibilities
- Welcome students, parents, and visitors in a professional and courteous manner.
- Answer and route incoming phone calls and respond to general inquiries.
- Schedule appointments for financial aid staff as needed.
- Provide general information about financial aid processes, deadlines, and office procedures while maintaining confidentiality.
- Assist students with completing forms and locating appropriate resources.
- Receive, sort, and distribute incoming mail and office correspondence.
- Maintain front desk operations, including filing, scanning, copying, and data entry.
- Monitor office supplies and assist with ordering and inventory.
- Maintain organized student records in accordance with institutional policies and FERPA regulations.
- Support Financial Aid staff with special projects and office events.
- Perform other duties as assigned.
- Arrive timely for work, attend work regularly, and successfully perform the responsibilities of the position.
- Comply with HutchCC policies, procedures, and practices.
Minimum Qualifications
- High school diploma or equivalent.
- A minimum of one year clerical or related experience required. Previous customer service or receptionist experience preferred.
- Proficiency with Microsoft Office and general office equipment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong organizational skills with attention to detail.
- Ability to work effectively with a diverse student population in a fast-paced environment.
Knowledge, Skills, and Abilities
- Knowledge of and skills with routine office policies, procedures, and equipment, including PCs and applicable student information data bases and spreadsheet applications.
- Excellent interpersonal and customer service skills.
- Ability to communicate clearly and professionally in person, by phone, and in writing.
- Strong organizational and time-management skills.
- Ability to multitask and prioritize responsibilities.
- Basic computer and data entry skills.
- Ability to work independently and as part of a team.
Working Conditions
- Primarily an indoor office environment.
- Frequent interaction with students, employees, and the public.
- Regular use of computers, telephones, and other standard office equipment.
- May require occasional lifting of office supplies or files up to 20 pounds.

WAGE and STATUS:
The hourly rate of pay is commensurate with qualifications as determined by HutchCC administration. This full-time support staff position is, 12 months annual, 40 hours per week, benefit eligible including KPERS, at-will, and nonexempt.
