Firearms/Receiving Coordinator

Reports to: Distribution Center Manager   

Department: Distribution Center

Classification: Non-exempt

Job Summary:

Pro-hunting values are critical. This is an in-house position located at RMEF headquarters in Missoula, Montana.

This position is responsible for day-to-day operations related to firearms at RMEF’s distribution center, including accurate and efficient acquisitions, dispositions and inventory control. Responsible for compliance with federal and state law pertaining to storage and the transfer of firearms to other licensed FFL dealers, individuals and BATF firearm traces.  

A high school graduate or equivalent required. Experience in the handling of firearms is required. Experience working with BATF regulations and state firearm regulations is highly preferred.  

Essential Functions:

  1. Responsible for complying with BATF regulations including federal and state laws to facilitate firearm transfers. Maintain accurate firearm logbooks within designated databases. Responsible for performing NICS background checks and all firearm traces within 24 hours of BATF request.  
  2. Perform accurate physical receiving of inbound firearms to maintain integrity of inventory control. Inspect and accept, or reject, inbound shipments noting any damage to the shipment. Label merchandise to be put on shelving and if needed, shrink wrap pallets to be stored in their proper inventory location. Complete the receiving process by filing and referencing back-up pack slips from all vendors.
  3. Maintain inventory control through monthly firearm inventories. Includes reconciliation of e-bound book versus RMEF database inventories. Leads annual year-end firearm inventory procedures.
  4. Maintain accurate filing system for firearms recordkeeping such as over the counter 4473’s, records within RMEF databases, and pack slips for inbound firearm shipments.  
  5. Oversight of all RMEF internal firearm loan processes.
  6. Serve as the back-up to the Distribution Manager for month-end reports, invoices, bills and other duties as assigned.  
  7. Serve as backup for other warehouse staff as directed by supervisor.  
  8. Responsible for documenting and maintaining “How-To’s” for all procedures related to this position.  
  9. Responsible for maintaining clean and safe work environment. 
  10. Provide exceptional internal and external customer service.  

Additional Responsibilities:  

Perform other work as assigned.

Supervision of Others:

This position does not have supervisor responsibilities.

Education and Experience:

High school graduate or equivalent required. Experience in the handling of firearms is required. Experience with pallet jack, scissor lift and forklift is preferred. Experience working with BATF regulations and state firearm regulations is highly preferred. 

Knowledge, Skills and Abilities:

  1. Knowledge and support of RMEF’s mission, goals, programs, and activities. 
  2. Knowledge of shipping and receiving procedures along with basic accounting procedures and math skills.  
  3. Ability to organize and prioritize numerous tasks and complete them under time constraints, working at a fast pace and remaining accurate. 
  4. Strong organizational and problem-solving skills; looks for continuous improvement and implementation.
  5. Ability to communicate effectively verbally and in writing.
  6. Detailed knowledge of the responsibilities of a Federal Firearms Licensee, form 4473 and the NICS National Instant Criminal Background Check System. Responsible for updating FFL every four years.
  7. Computer skills are essential in performing day to day shipping and receiving procedures. Must be proficient in Excel, Word, and Outlook and have the ability to understand relationship databases.
  8. Must be self-motivated and be able to perform job duties with little or no supervision.

Physical Demands:

This position will entail lifting and moving heavy objects which may weigh up to 60 pounds. It will also require an individual to stand and walk for an extended periods as well as kneeling, squatting, and bending.
