Fleet Manager

Summary

The Fleet Manager is responsible for the overall direction and management of the Fleet Department as it relates to production goals, training, staff management, materials coordination, and technical direction. The Fleet Manager is also responsible for setting and achieving goals, monitoring expenses, maintaining budgetary controls over the department, and serving as a communication bridge between the fleet team and the rest of the organization.

Essential Functions

• Supervise and support the daily operations of the fleet mechanics to maximize productivity and quality of work.


• Review and approve all incoming work orders to schedule and coordinate both emergency repairs and routine maintenance for all fleet vehicles and equipment.


• Monitor and manage departmental expenses, ensuring cost-effective operations while maintaining high standards.


• Track and report on maintenance KPIs such as repair turnaround time, costs, and downtime both locally and to corporate fleet team.


• Communicate ongoing repairs and maintenance status updates to relevant departments and teams.


• Ensure mechanics are informed of scheduling priorities and changes for alignment and preparedness.


• Assist with parts ordering, vendor management, receipt submissions to accounting, and maintaining adequate inventory levels.


• Maintain accurate service and inspection records in compliance with state, federal, and company policies.


• Participate in long-term planning related to fleet upgrades, replacements, and capital equipment purchases.


• Manages direct reports to ensure a safe, cohesive, productive environment, where there is uniform adherence to policies and procedures, appropriate staffing levels, and performance development through mentorship and coaching.  Addresses issues immediately and efficiently.


• Perform mechanical maintenance on all equipment, troubleshooting engines, transmissions, and mechanical components, as needed.


• Coordinate preventative maintenance and DOT Inspections on fleet vehicles and trailers, annually.


• Other duties as assigned.

Position Requirements 

• High School diploma or equivalent.


• 3+ years of experience in fleet management, equipment maintenance, or related field.


• Proven experience supervising teams in a mechanical or service-oriented environment, preferred.

Technical Skills

• Strong organizational and time management skills with a high attention to detail and ability to multi-task while maintaining efficiency.


• Ability to communicate effectively with cross-functional teams including mechanics, operations staff, and leadership both written and verbal.


• Proficiency with maintenance management software, spreadsheets, and scheduling tools.


• Intermediate skills with MS Word & Outlook, beginner MS Excel.


• Ability to troubleshoot engine, transmission, and mechanical components.


• Ability to operate landscape machinery and equipment, preferred.


• Commercial Driver’s license, Class A with Airbrakes, preferred.
