Job Description - Fleet Manager

Summary:


The Fleet Manager – Northern District is responsible for overseeing the day-to-day operations, maintenance, and compliance of Nor-Cal Pipeline Services’ fleet assets within the Northern California region. This role ensures that all vehicles and equipment operate safely, efficiently, and in accordance with DOT regulations. The Fleet Manager will coordinate closely with operations, safety, and procurement teams to support field performance and ensure high levels of fleet uptime and readiness.



Essential Duties and Responsibilities:

Fleet Operations & Maintenance



  • Supervise and execute preventative maintenance schedules in accordance with manufacturer guidelines and company policies.

  • Prepare workorders, coordinate repairs and inspections with vendors and Division Managers to minimize downtime.

  • Maintain up-to-date records of vehicle registrations, titles, warranties, and service history.

  • Monitor fleet utilization and condition to perform cost analysis to determine units for repair or replacement.


DOT Compliance & Safety



  • Ensure all regional fleet operations comply with DOT and OSHA safety standards.

  • Maintain inspection logs, driver vehicle inspection reports (DVIRs), and required permits.

  • Support internal and external audits by providing required documentation and corrective actions.


Asset Management & Reporting



  • Maintain accurate fleet inventory and track assignments across field crews and service areas.

  • Monitor fuel usage, maintenance costs, and mileage to identify cost-saving opportunities.

  • Submit monthly performance and maintenance reports to Fleet Director.

  • Manage Tenna platform to maximize ROI and fleet efficiency


Vendor & Personnel Oversight



  • Build and maintain relationships with local vendors, repair shops, and parts suppliers.

  • Oversee and direct fleet technicians and ensure adherence to safety protocols.

  • Provide coaching and technical guidance to mechanics and field staff on equipment use and care.


Collaboration & Support



  • Collaborate with operations teams to ensure the fleet meets project and field requirements.

  • Assist in planning for fleet expansion, replacement schedules, and new vehicle specifications.

  • Participate in accident investigations and provide input on vehicle incident prevention.



Qualification Requirements:





Education & Experience



  • High school diploma or GED required, associate or bachelor’s degree in logistics, mechanics, or related field preferred.

  • Minimum 5–7 years of experience in fleet maintenance, operations, or vehicle compliance management.

  • Experience with heavy trucks, vocational equipment, hydraulic systems, and diesel engines is preferred.

  • Familiarity with fleet maintenance software, Microsoft Excel, and maintenance logs.


Certifications & Licenses



  • Valid driver’s license with clean driving record.

  • Commercial Driver’s License (CDL) preferred but not required.



Required Skills:





Fleet Management:



  • Strong working knowledge of vehicle/equipment maintenance, diagnostics, and DOT compliance.


Leadership:



  • Ability to lead a small team, delegate tasks, and manage priorities effectively.


Communication:



  • Clear, professional verbal and written communication; strong interpersonal skills.


Organization:



  • Detail-oriented with strong time management and documentation skills.

While performing the duties of this job, the employee occasionally works near moving mechanical parts in outside weather conditions and is occasionally exposed to wet and/or humid conditions, and fumes or airborne particles.


 


Maximum travel of 10% within California.


 


The noise level in the work environment is usually moderate.
