Fleet Operations Assistant Vehicle Inventory & Logistics

Are you organized, dependable, and enjoy working around vehicles? We are looking for a Fleet Operations Assistant to help manage vehicle inventory, coordinate new vehicle deliveries, support fleet logistics, and keep daily operations running smoothly.

This is a hands-on position that combines vehicle inventory management, data entry, transportation coordination, and administrative support. You will play an important role in managing our rental fleet, from receiving new vehicles to preparing them for service and coordinating vehicle shipments.

Key Responsibilities

Fleet Inventory & Lot Management

• Complete and maintain accurate daily vehicle inventories.
• Monitor vehicle locations, including new arrivals, damaged vehicles, and out-of-service units.
• Organize vehicle placement and coordinate temporary parking areas when needed.
• Assist with keeping the fleet lot organized and operating efficiently.

New Vehicle Deliveries & Fleet Preparation

• Receive, inspect, and sign for incoming vehicle deliveries.
• Process delivery paperwork and submit Bills of Lading (BOLs).
• Prepare vehicle packets, print temporary permits, and assign vehicle trackers.
• Verify vehicle and paperwork information for accuracy.
• Ensure vehicles are properly prepared for service, including removing shipping materials, installing vehicle numbers, registration, insurance cards, stickers, and trackers.

Fleet Administration & Data Entry

• Enter and update vehicle information in company systems, including BRS, Orion, and related websites.
• Maintain accurate fleet records and organize required paperwork.
• Assist with filing, tracking, and processing vehicle documentation.

Vehicle Transportation & Logistics

• Coordinate vehicle shipments and organize transport loads.
• Communicate with transportation companies regarding vehicle pickups and deliveries.
• Prepare vehicles for transport, including paperwork, tracker removal, and system updates.
• Update vehicle statuses and maintain accurate records in BRS.
• Assist with title requests and other transportation documentation.

Vehicle Repairs & Maintenance Coordination

• Support fleet specialists and mechanics with daily operational needs.
• Prepare and track Non-Revenue (NR) tickets for vehicles sent to dealerships or body shops.
• Record and update vehicle mileage when units leave or return to the lot.
• Maintain accurate documentation for repair-related vehicle movements and chase vehicles.

General Responsibilities

• Maintain accurate timekeeping and follow scheduled work hours.
• Communicate attendance issues and time-off requests according to company procedures.
• Keep work areas clean, organized, and secure, including completing weekly Friday cleanup responsibilities.
