Job Description:

Fleet Service Consultant

Purpose:

Under general supervision, this position interacts with customers to determine scope of vehicle repair, prepares work orders, maintains records for repairs/maintenance/service of vehicles and equipment and analyzes related data for the Fleet Mobility Services Department. This position is located in the Fleet Mobility Services Department.
 

Duties, Functions and Responsibilities:

Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.

  • Triages vehicle/equipment problems and determines need for vehicle repair through visual inspection.

  • Creates itemized work order for repair/maintenance/service and verification of work order charges for payment processing.

  • Determines need and coordinates with outside vendors for parts and services.

  • Communicates vehicle repair needs and time required to customers.

  • Monitors work status and communicates with customers, user department and service center personnel regarding status of work.

  • Communicates with customers to determine the nature of mechanical problems.

  • Coordinates and schedules repair/maintenance/service with other departments/fleet liaisons.

  • Ensures and facilitates road service, wrecker service and/or tire repair and maintains wrecker and service call logs.

  • Manages on-site vehicle/equipment inventory and ensures all vehicles/equipment have an associated work order in fleet information management system.

  • Maintains and produces vehicle and equipment repair reports as needed.

  • Analyzes data for workflow efficiencies and enhancing customer service strategies.

  • Other related duties may be assigned.

May provide leadership, work assignments, evaluation, training, and guidance to others.
 

Knowledge, Skills, and Abilities:

 Must possess required knowledge, skills, abilities, and experience and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.

  • Knowledge of customer relations practices

  • Knowledge of general maintenance and repair in the vehicle/equipment field

  • Knowledge general quality control methods, job standards, processing of work orders, pricing, labor hours, and equipment and materials

  • Skill in communicating complex information related to the job

  • Skill in verbal and written communication

  • Skill in organization with attention to detail

  • Skill in operating a computer and standard MS Office software including knowledge of databases and e-mail.

  • Ability to analyze complex data

  • Ability to work with frequent interruptions and changing priorities in a rapid-paced environment

  • Ability to interact with tact and courtesy and maintain a professional demeanor

  • Ability to understand and follow work-related directions and instructions

Minimum Qualifications:

  • Graduation from an accredited high school or equivalent plus four (4) years of experience working in in an automotive or equipment services environment engaging/interacting as a liaison between the customer and organization.

  • Combination of equivalent experience and education may substitute for the minimum qualifications.
     

Licenses and Certifications Required:

  • Requires a Class C driver's license.

  • May be required to obtain an appropriate Commercial Driver's License (CDL) within 120 days of employment with the City.
     

PREFERRED QUALIFICATIONS:

  • Master ASE (Automotive Service Excellence) certification or other industry-recognized certification (e.g., EVT, CAFS, etc.), or the ability to obtain certification within six (6) months of employment.

  • ASE Service Consultant Certification or the ability to obtain certification within six (6)

  • Auto Body Estimating Experience

  • Aftermarket Vehicle Upfit experience, including emergency communication and emergency lighting.

  • Experience providing direct customer service and coordinating with vendors in a customer facing role

  • Proficiency with the Microsoft Office Suite to include Word, Excel, and Outlook

  • Experience managing on-site vehicle/equipment inventory and maintaining fleet information systems

  • Ability to work with frequent interruptions and changes in priorities.

Schedule: 

DAYS AND HOURS:

  • Monday – Friday, 7:00 AM - 4:00 PM

  • Occasional evening, weekend and/or holiday hours may be required based upon operational needs.

  • Work schedule and location is subject to change based on department needs

This position interacts with customers to assess vehicle body and mechanical repair and service needs, determines scope of work, prepares work orders, maintains records for repairs / maintenance / service of vehicles and equipment, provides timely updates to customers regarding repair status, coordinates with outside vendors for specialized repair and service needs.

This has been designated as an Essential Employee position. In the event of a City-designated emergency, Essential Employees provide services that impact the public health, safety, utility services, and welfare of members of the Austin community and other employees and ensure the continuity of essential operations. In such an emergency, Essential Employees may be called back in, may be required to modify their schedule, may be assigned to a City-designated work site, or may be retained on site to assist with operations and recovery.

Driving Requirement: 

This position requires a license for the operation of commercial vehicles in the state of Texas within 120 days of employment. External New Hires must meet the City of Austin's Driver Record Evaluation (DRE) requisite. To be considered for a driving position, applicants cannot have more than three moving violations or a total of six Driver Record Evaluation points within a period of thirty-six (36) months.
