Position Summary
Responsible for the coordination of departmental functions, financial reporting and database management for the food and beverage department management team.
Essential Functions
- Serves as the executive assistant to the Food and Beverage Director and Executive Chef.
- Maintains departmental payroll and all employee records and files, including but not limited to tracking disciplinary actions, evaluations, time off, notes to file, etc.
- Reviews and proofs all evaluations for F&B.
- Produce, complete and route all HR related forms for Director and Managers as needed.
- Maintain current OLCC, Food Handler and/or Serve Safe certification files for all F&B employees.
- Coordinate all OLCC event permits.
- Manage Trip Advisor comments and provide responses for all F&B locations.
- Coordinate, enter and follow up on all Facilities Work Order requests.
- Maintains and documents all internal and external purchasing and receiving responsibilities for the F&B department.
- Creates and tracks all Blanket POs for the F&B department.
- Performs F&B Management department orientation and provides training packets for all new management team members.
- Codes, reconcile receipts and completes all F&B credit card holder expense reports.
- Collects, maintains database and routes all guest comment cards for response, both positive and negative. Additionally, creating monthly database report for F&B Director by departments.
- Serves as communications liaison between the Director’s office and key Food and Beverage staff regarding deadlines, reporting requirements, general department information and changes in policy/procedure.
- Coordinates scheduling appointments, meetings and special events for F&B Director.
- Creates and maintains all files including employees both paper and electronic.
- Coordinates all menu changes, price costing and keeps current menu book up to date.
- Create and submit all Graphics work orders, edits and routes all proofs for approvals, follows up on proofs through to final product and serves as liaison between graphics department and F&B.
- Completes requisitions to replenish shortages or additional items needed for anticipated business.
- Assist all parts of the Food and Beverage Management and Supervisory Team administratively.
- All other duties as assigned by F&B Director.

- Ability to obtain and maintain Food Handler and OLCC Permit.
- Strong interpersonal skills to achieve guest service standards, both internally and externally.
- Exemplary time management skills to handle and manage multiple priorities; including the ability to shift priorities at a moment’s notice when necessary.
- Ability to work independently with minimum supervision.
- Ability to create Excel spreadsheets, including writing formulas for the spreadsheet application.
- Excellent verbal and written communication skills.
- Ability to type 50 words per minute.
- Ability to perform mathematical calculations, 10 key by touch.
- Self-motivated with strong organizational skills.
Education
High school diploma or GED required.
2 years culinary education preferred.
Experience
5 years administrative, financial reporting, data entry and database management experience required. (Preference may be given to those with experience in food and beverage or culinary department)
Demonstrated experience working with F&B purchasing programs preferred.
Food and beverage purchasing, and COS experience preferred.
Computer Skills
Microsoft Office Advanced level including Word, Excel, PowerPoint, and Outlook.
Certificates & Licenses
Oregon Drivers License.
Other Requirements
Siletz Tribal Gaming License.
Must have Food Handlers Permit within 30 days of start date.
Must have OLCC temporary Permit before the start date and obtain OLCC Permit within 45 days of hire.
Must obtain VIP (Visually Intoxicated Person) Permit within 45 days of hire.

Work Environment
Work will take place in a busy gaming environment with multiple distractions. The noise level in the work environment is usually moderate to loud. The environment is subject to smoke and the associated effects. Direct public contact. Fast paced, high volume production, multiple restaurant/catering environments. Occasional overtime and occasionally must deal with angry or hostile individuals. Some or all of work may take place on the gaming floor.
Working Conditions
Conditions of employment include passing a pre-employment drug screen, a background investigation, and completing a 180-day introductory period.
