The Forge Advancement Team exists to advance the school’s mission and vision through compelling storytelling, strategic communication, community connection, and fundraising. We work collaboratively with all teams to strengthen marketing, development, alumni relations, and school events. Our annual advancement plan guides our efforts, helping us align resources, build meaningful relationships, and support the long-term sustainability and growth of Forge.
Forge Events Coordinator’s Purpose Statement:
The Event Coordinator supports the Advancement Team in cultivating unity within the Forge community by advancing the school’s mission and vision through the strategic planning, seamless execution, and thoughtful oversight of all Forge events. This role plays a vital part in fostering meaningful connections among students, families, faculty, alumni, and supporters by creating experiences that reflect our core values and Christ-centered purpose. The Event Coordinator collaborates with internal teams to encourage team unity, ensuring that every event strengthens community bonds, honors the school’s identity, and furthers our shared commitment to spiritual, academic, financial and relational growth.
Forge Events Coordinator‘s Responsibilities:
Primary Responsibilities
- Event Planning and Execution: Oversee the planning, coordination, and execution of Student Life and Development-related events, including but not limited to:
- Student Life Events: All School Retreat, New Student Orientation, Back to School Night, Homecoming, Holiday events, Prom, etc.
- Senior Life Events: Manage timelines and coordination for senior-specific events.
- Development and Fundraising Events: Partner with the Advancement Director to plan and execute fundraising events such as the Golf Tournament, Forge Fest, and donor appreciation events. Collaborate with the Enrollment Team for the Golf Tournament and with the House Team on the agenda and flow for Forge Fest to ensure alignment and success for each event.
- Event Budget Management: Manage event budgets for all events, ensuring adherence to budget limits and tracking income and expenses. Work closely with the Advancement Director to ensure financial goals are met for fundraising events.
- Collaboration with Other Teams: Coordinate with Enrollment, Facilities, IT/Production, and Marketing to ensure smooth execution of all events, including securing space, technical needs, marketing materials, and event follow-up communications.
- Vendor Management: Liaise with external vendors to secure services, manage contracts, and ensure on-time delivery for event supplies, décor, entertainment, etc.
- Alumni and Donor Engagement: Assist the Advancement Director in developing and executing events that enhance alumni relations and donor engagement, ensuring that these events align with Forge’s strategic development goals.
- Volunteer Management: Supervise and direct parent volunteers to ensure sufficient staffing and support for events, including training and delegating tasks as needed.
- Strategic Support for Development: Collaborate with the Advancement Director to design and implement events that contribute to Forge’s fundraising goals and overall development initiatives. This includes event planning that highlights Forge’s mission and showcases the school to prospective families and donors.
- Event Reporting and Evaluation: After each event, provide feedback and metrics for the success of the event, identifying areas of improvement for future events.
Measurable Goals:
- Successful execution of Student Life and Development events
- Positive feedback from event attendees, families, and stakeholders
- Meeting or exceeding fundraising goals for key development events (e.g., Golf Tournament, Forge Fest
- Timely completion of all event-related tasks, including budget tracking and vendor coordination
- Increased engagement with alumni and donors through events
- Consistent collaboration with internal teams following established processes and timelines
- Annual Advancement Plan updated and referenced for event planning alignment

- Ability to work as part of a collaborative team to achieve common goals and create meaningful experiences.
- Event-specific software proficiency (e.g., event management platforms, registration tools).
- Ability to maintain confidentiality of sensitive information.
- Highly organized with a keen attention to detail and a flexible, solution-oriented approach to challenges.
Staff Requirements:
- Be present for all Staff Meetings pertinent to your role, unless sick or on vacation.
- Typically held 1-2x/month on the same day/time to plan accordingly
- Work "All Staff Required" events.

*This is a full-time salaried position with a 12-month work schedule and vacation time according to the Employee Handbook.
