This person should be a team player who is comfortable working with a high level of precision and confidentiality while also embracing new and effective techniques to improve professional performance.
We're searching for someone that is self-motivated, client-focused, dependable, and has a strong work ethic. Must be able to use computers fluently, especially knowledge of Microsoft Office Word and Excel, and must be able to prioritize work, multitask, and interact with other employees, managers, and partners across the business, including in other office locations.
Responsibilities include (but not limited to):
Greet and assist clients and visitors with a warm, professional demeanor
Answer, screen, and direct incoming phone calls
Maintain a clean and welcoming reception area (stocked with coffee, candy, forms, etc.)
Provide accurate and courteous information in person, by phone, and via email
Prepare and assemble client deliverables with accuracy and timeliness
Assist clients with general questions and direct them to appropriate team members
Receive, sort, and distribute mail and deliveries
Manage calendars and schedule meetings
Order and maintain inventory of office and kitchen supplies
Perform clerical tasks such as photocopying, scanning, and faxing
Maintain and update electronic client databases
Support firm leadership and team members with administrative tasks
Uphold confidentiality and professionalism in all interactions
Qualifications:
Proven experience in an administrative or front desk role (experience supporting leadership is highly valued)
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Excellent communication and interpersonal skills
Ability to multitask and prioritize in a fast-paced environment
High level of discretion and integrity when handling confidential information
Strong organizational skills and attention to detail
Comfortable working independently and collaboratively
High school diploma or equivalent required; associate’s or bachelor’s degree preferred
