What You'll Do
As the face of our office, the Front Desk Administrative Assistant plays a vital role in delivering an outstanding first impression to visitors, vendors, and customers. This person will support multiple departments with administrative and reporting tasks that help keep our office running smoothly.
Key Responsibilities
Office & Guest Experience:
- Greet all visitors warmly and offer a beverage.
- Answer incoming phone calls with a positive and helpful tone—solve what you can before transferring.
- Schedule and manage conference room use for outside parties.
- Sort and distribute incoming mail.
- Maintain cleanliness and presentation of the showroom.
- Manage garbage and recycling schedules.
- Monitor and order office supply inventory.
Admin Support:
- Compile and email team headlines from department meetings.
- Assist with estimating tasks (e.g., creating purchase orders).
- Support Project Manager Team with tasks such as mood boards and rough-in packets.
- Assist with miscellaneous administrative needs as they arise.
Accounting Support:
- Scan, save, and send daily deposits.
- Help maintain the accounting inbox.
- Prepare checks for distribution.
- Review invoices and assist with job entries.
Weekly Reporting:
- Track and update internal reports
Technology (Basic Office Assistance Only):
- Support team with light technology needs—no IT background required.

What Makes You Stand Out
- Previous front desk, office admin, or customer-facing experience.
- Familiarity with Microsoft Office, Buildertrend, and/or Smartsheet.
- Interest in the homebuilding or construction industry.

Work Environment
Primarily an office-based role, 8:00 AM–5:00 PM, Monday through Friday, with a 1-hour lunch break. Hourly position.
