Job Description - Front Desk Administrative Assistant

Purpose of Position: 


 


The Front Desk Administrative Assistant is responsible for representing EO to callers and visitors providing excellent customer services at EO’s Front Desk.  The Assistant should receive all callers and visitors in a warm and friendly manner and listen carefully to efficiently fulfill their needs.  The Assistant will perform administrative tasks to support general office functions.  The Assistant will provide support for EO meetings and events. 


 


Key Responsibilities and Essential Functions: 



  • Provide phone and reception coverage during business hours. 



  • Manage the front desk operations process effectively and efficiently.  Accept requests for assistance, complete work assignments, and track usage for future reference.  



  • Prepare/mail correspondence, organize and sort materials, prepare files, assemble program materials, etc. 



  • Help prepare for special functions, meetings, and events at EO. 



  • Receive and process daily mail, both incoming and outgoing pieces.  



  • Manage incoming deliveries by all carriers to ensure they are received by correct staff recipients. 



  • Process orders following EO's operating procedures to maintain the organization's inventory. 

  • Ensure easy access to supplies and the orderliness of the storage areas. 



  • Provide administrative support for Operations, MarCom, Development, and Administration. 



  • Maintain copy room supplies, such as order and restock copy paper, restock counter supplies, perform daily/weekly calibration of the color copier, oversee requests for copier maintenance, etc.


 

Experience/Position Requirements: 



  • Excellent communication skills, both orally and in writing, include listening carefully and interpreting what is being asked/said by callers and visitors. 



  • Experience handling multiple assignments at the same time. 



  • Ability to establish, manage and meet deadlines. 



  • Ability to work independently to complete projects and tasks. 



  • Ability to solve problems quickly and effectively. 



  • Ability to establish excellent rapport with co-workers, public, volunteers, and donors. 



  • Advanced skills in Microsoft Office, i.e., Outlook, Word, Excel, and Power Point. 



  • Exhibit a professional manner and appearance. 



 


Work environment 


This position is based in the Abingdon, Virginia office. 


 


Physical demands 


While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to finger, handle, or feel. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus. 


 


Position type and expected hours of work 


Employee should be able to work core hours of 8:00 AM to 5:00 PM. 


 


Certificates, licenses, registrations  



  • Valid driver's license and automobile insurance 



  • Reliable high-speed home internet. 


 


Required education and experience 



  • 2 - 5 years clerical support experience in a fast-paced environment    



  • Associate’s degree may substitute for some work experience 


 


Preferred education and experience 



  • Experience working in a government, educational, nonprofit, or social service organization preferred
