ABOUT RECOVERY WORKS NW:


We have changed thousands of lives through our outpatient clinics over the last nine years and now we are feeling we need to do more. Please join Recovery Works NW as we open our medically-managed withdrawal facility (aka detox) in Southeast Portland. We are a no-judgment, harm-reduction, down-to-earth organization specializing in addiction treatment and we are growing rapidly in hopes to make an even bigger difference within our community. POSITION SUMMARY


The Front Desk & Intake Specialist (Float) is responsible for providing high-quality administrative and customer service support across our multiple clinic locations. This position is a vital part of ensuring smooth clinic operations and exceptional patient experience by filling in for staff absences, call outs, and high-volume periods. The ideal candidate is dependable, adaptable, and thrives in a dynamic environment.



LOCATIONS


This position is intended to float between our four outpatient locations to provide coverage and support as needed.



Float staff are given a stipend based on travel amount:



  • Light travel (avg. ~70 miles a month): $50/month

  • Moderate travel (avg. ~140 miles a month): $100/month

  • Frequent travel (avg. 140+ miles a month): $200/month

ESSENTIAL DUTIES AND RESPONSIBILITIES
Reception and Client Interaction:
•    Greet clients, visitors, and family members with warmth, respect, and professionalism.
•    Answer phone calls and direct inquiries to appropriate staff or departments.
•    Manage client check-in/check-out processes, ensuring timely and accurate data entry.
•    Maintain confidentiality and respect clients' privacy in all interactions.
•    Assist clients with questions or concerns, providing resources and referrals as needed.
•    Follow up on no-show patients and fill same-day cancellation slots.
Administrative Support:
•    Schedule and confirm appointments for clients, including therapy, counseling, medical, and group sessions.
•    Manage and update client records and ensure all necessary forms are completed.
•    Handle client intake paperwork, including collecting insurance information, consent forms, and treatment plans.
•    Assist with administrative tasks such as filing, faxing, and scanning documents.
•    Support billing and insurance processes by ensuring proper documentation and client data entry.
Communication and Coordination:
•    Serve as a liaison between clinical staff, clients, and outside providers or agencies.
•    Maintain communication with clients regarding scheduling, cancellations, and other updates.
•    Provide clients with information about clinic services, programs, and recovery resources.
Clinic Environment:
•    Maintain a clean, organized, and professional front desk and waiting area.
•    Ensure that supplies and materials are stocked and organized for staff and clients.
•    Monitor clinic security protocols, ensuring a safe and welcoming environment for all clients and visitors.
Other Duties:
•    Assist with other administrative tasks and projects as directed by the Front Office Supervisor or Director of Clinical Operations.
•    Adhere to clinic policies and procedures, including confidentiality and safety guidelines.
•    Other duties as assigned.



SCHEDULE
•    Monday- Thursday 9 am to 5 pm


•    Friday 9 am to 3 pm



MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
•    High School Diploma or GED
•    Two years’ experience with scheduling and answering phones, preferably in a medical office setting.
•    Strong organizational and multitasking skills, with the ability to handle multiple projects at once.
•    Exceptional communication and interpersonal skills.
•    Knowledge of Substance Use Disorders and mental health issues preferred.
•    Proficient in using office software.

**Position is contingent on passing an OHA Background check and successful completion of a urine analysis (UA) after accepting job offer**
