About this Position:
Our Administrative Team is seeking a Front Desk Coordinator to join us in a part-time capacity (30 hours/week). This benefits-eligible position follows a Monday through Friday schedule, typically from 9:00 AM to 3:00 PM, though we offer some flexibility in coordination with the Chief Administrative Officer.
Job Duties:
- Serve as the first point of contact for the agency. Greet and direct visitors and route general emails to the appropriate departments.
- Open, sort, and distribute incoming mail and packages daily. Prepare all outgoing mail and coordinate courier/shipping services.
- Monitor office supply inventory and place orders as necessary. Ensure the lobby and common areas are professional and organized.
- Provide general clerical support, including filing, scanning, and maintaining electronic records.
- Assist with preparing basic correspondence and reports as directed.
- Assist with reserving conference rooms for all meetings.
- Schedule and coordinate lunches/catering for trainings and meetings, assist with meeting preparation, and help set up meeting spaces as assigned by the CAO.
- Maintain strict confidentiality according to HIPAA and PPAU policies. Represent PPAU in a positive, professional manner to all clients, donors, and the public.
- Act as the "eyes and ears" of the front office, maintaining a calm environment and following safety procedures.
- Assist with occasional errands or office-related tasks as needed.
- Performing other duties as required or requested.
What We're Looking For:
- High school diploma (or equivalent).
- At least one year of experience in a receptionist, customer service, or front-office role.
- Proficiency in Microsoft Outlook, Word, and Excel. Ability to learn electronic practice management systems.
- Strong verbal communication & written communication skills with a focus on exceptional customer service.
- Ability to remain calm and professional in a fast-paced, sometimes high-pressure environment.
