Front Desk Reception - Bilingual

We seek a Bilingual Spanish/English Front Desk Reception Ambassador to play a pivotal role in the firm's client acquisition and new client team by providing customer service support to potential clients, internal office team of attorneys and paralegals and retaining the leads for new and prospective clients.  The Front Desk Reception team member meets and greets clients and assists with determining client eligibility and will make referrals to other Practice areas and departments. This candidate will secure relevant information and documentation and interact with perspective clients and internal teams timely. This position will report to the New Client Team Director and Leads.

Duties & Responsibilities

• Answer phone calls, respond to perspective calls, and take notes.


• Scan client intake files.


• Sort all team mail and distribute.


• Assist office liaison with team engagement projects, birthdays, anniversaries, volunteer event planning.


• Ask a series of questions for the purpose of compiling data to determine the next course of action.


• Receives, evaluates, collects data, and coordinates referral activities in collaboration with the Referral Department.


• Reviews all alert calls for leads and creates leads on case management system – Smart Advocate.


• Processes and uploads documents in case management system.


• Organizes and scans documents.


• Research police reports in Legal Plex.


• Maintains legal files and other relevant information in digital databases.


• Disputes denial claims.


• Make transportation arrangements for clients and manage car service accounts.


• Interacts with attorneys and paralegals to discuss the client retainer and intake timely. Communicate constructively and enhance resolutions.


• Receives and sends email daily.


• Provides support to other administrative staff and performs other duties as assigned.

Qualifications

• Demonstrate ability to use standard office equipment.


• Proficient in Smart Advocate or similar case management system.


• Proficient in Microsoft Office Suite or related software.


• Excellent organizational skills and attention to detail.

• Experience in working in a professional environment, Medical/Health or Personal Injury Law firm experience.


• Bilingual, facility with English and Spanish is required.

Education & Experience

• High School Diploma, GED or equivalent.


• Data Management preferred.


• At least 1 year of experience in a Personal Injury legal firm or Medical Industry, Medical Assistant.

Physical Requirements

• Prolonged periods sitting at a desk and working on a computer.


• Must be able to lift 15 pounds at times.


• Able to travel to the offices of GGL (Garces, Grabler & LeBrocq) as needed.

Schedule:

• 8-hour shift am


• Monday to Friday - 9 am to 6 pm


• Weekends as needed. (Saturday and Sunday)

Education:

• High school or equivalent (Required)

Experience:

• Customer Service: 2 years (Required)


• Legal New Client Intake experience (2 years)
