Job Description - Front Desk Reception - Start Now

We are in need of a remarkable Front Desk Reception to join our experienced team at Panacea Behavioral Health & Wellness Center in Virginia Beach, VA.

Responsible for greeting patients, answering/managing the multi-line telephone system and checking voicemail/returning calls promptly, scanning pertinent patient data into the electronic medical record, checking patients in and out for in-person and telemedicine visits, verifying patient insurance and referrals, and scheduling appointments for new patients and some existing patients. Patient confidentiality must be maintained at all times.

Responsibilities:

Primary role will be to answer incoming calls and coordinate calls by transferring, entering a message in the EHR to the appropriate person, or paging providers or other employees when appropriate. Greet patients and other visitors in a courteous and timely manner when they arrive in the office.

Check-in and check-out patients/clients, perform EHR tasking responsibilities including scheduling appointments and rescheduling appointments if needed.

Register new patients, verify patient demographics and current health insurance, determine insurance copayment, and collect money and copayment through the EMR. Must be able to be bonded for financial security.

Responsible for retrieving the phones from the answering service at the beginning of each day and transferring phone lines to the answering service at the end of each day. After transferring calls to the answering service, call the number to verify that everything went through correctly and that calls are routed to the proper location.

Retrieve messages from the corporate voicemail hourly and return calls promptly.

Document patient needs and alert providers or administrators as needed.

Present a calm demeanor and demonstrate de-escalation techniques to keep the office atmosphere controlled and peaceful.

Schedule/reschedule clinic appointments via backfilling lists such as waiting lists, reminder lists, bump lists, etc.

Responsible for working/maintaining task list in the electronic medical record and assist with reports as needed.

Checks the electronic medical record for referrals and authorization prior to visit or upon patient arrival. Makes sure all information/ paperwork in scanned into the patient’s chart.

All other duties as assigned related to front office administrative duties.

OTHER DUTIES AND RESPONSIBILITIES

Providing directions to patients and visitors.

Maintaining order in reception room

Minimum Qualifications:

High School diploma. One (1) year office/clerical experience required. Experience performing related functions in a medical practice is preferred, but strong previous front desk customer service experience will be considered. Professional, customer service-oriented individual is required.
