Job Description - Front Desk Receptionist_4ORL

1. Greeting and Checking In Patients


  • Welcome patients as they arrive at the facility.

  • Verify patient information and update their records.

  • Ensure all required paperwork is completed, including insurance details and consent forms.


2. Scheduling Appointments

  • Answer phone calls and schedule, reschedule, or cancel appointments.

  • Coordinate with medical staff to ensure proper time slots and availability.


3. Managing Patient Records

  • Ensure patient records are up-to-date and accurate in the system.

  • File and retrieve patient files as necessary.


4. Insurance Verification and Billing

  • Verify patients' insurance information and inform them of any co-pays or outstanding balances.

  • Communicate with insurance companies regarding coverage and claims.


5. Maintaining a Clean and Organized Reception Area

  • Keep the front desk area neat and welcoming for patients.

  • Ensure that waiting areas are comfortable and that necessary materials (e.g., forms, brochures) are readily available.


6. Managing Communication

  • Answer phone calls, emails, and other communications in a professional and timely manner.

  • Communicate with medical staff, including doctors, nurses, and other healthcare professionals, as needed.


7. Handling Medical Records and Confidential Information

  • Follow strict confidentiality protocols, adhering to HIPAA (Health Insurance Portability and Accountability Act) regulations.

  • Safeguard sensitive patient data and ensure it’s not disclosed without proper authorization.


8. Providing General Administrative Support

  • Assist with filing, faxing, copying, and scanning documents.

  • Perform other clerical duties as assigned by supervisors.


Skills and Qualifications

  • Communication Skills: A clinical front desk receptionist must have excellent verbal and written communication skills, as they interact with patients, healthcare providers, and insurance companies.

  • Organizational Skills: They need to stay organized, as they often have to manage multiple tasks simultaneously.
