Job Description - Front Desk Receptionist/Administrative Assistant
Position Summary:
Bay Farm Montessori Academy seeks an engaging and professional Front Desk Receptionist & Administrative Assistant to serve as the welcoming face of the school and central support for staff, students, families, and visitors. This role is ideal for a friendly, organized, and tech-comfortable individual who can manage shifting priorities in a calm, thoughtful manner while maintaining confidentiality and professionalism at all times. This full-time non-exempt position is benefits eligible, and is a ten month annual term following the academic calendar from August 18 - June 5 with additional paid time off during school holidays. 40 hours/week.
Key Responsibilities:
Front Desk & Community Engagement
Greet all students, families, visitors, and staff warmly and professionally.
Manage incoming phone calls and direct inquiries appropriately.
Monitor public spaces and the front office to maintain a welcoming and organized space.
Serve as a calm, grounded presence, particularly during busy arrival and dismissal times.
Escort children to and from classes for arrivals, dismissals, special programs, and events.
Participates as a member of the Crisis Response Team.
Remain calm and clear-headed during emergencies or escalated parent/student situations.
Use discretion and emotional boundaries to support others without absorbing stress or conflict.
Administrative Support
Support the school’s administration with general clerical tasks.
Perform data entry and database maintenance - student records, emergency contacts, attendance.
Generate reports and documentation - G Suite, FACTS SIS, and other applications as needed.
Maintain digital records and file structures - minimal paper-based filing needed for compliance.
Support staff with resource coordination - purchasing, copiers, program/events, tours.
Maintain and monitor shared internal calendars.
Mail distribution and correspondence as needed.
Qualifications & Skills
Friendly, professional, and composed under pressure.
Proficient in Google Workspace (Docs, Sheets, Forms, Gmail, Calendar) or Microsoft Office.
Comfortable learning new platforms (student information systems, communication tools, etc.).
Excellent verbal and written communication skills, with attention to tone and clarity.
Ability to handle sensitive information with discretion and maintain confidentiality.
Organized and able to manage multiple tasks in a fast-paced environment.
Experience in a school or child-centered environment is a plus, but not required.
Education, Training and/or Experience: High school diploma or equivalent. Bachelor's degree preferred. 1-2 years administrative experience required.
Certifications, Licenses, or Registrations: CPR/First Aid
Physical Factors: On campus office setting, ability to lift 35 pounds is required
