Action Inc. is looking for a Front Desk Specialist to be the welcoming first point of contact at our Main Office. In this vital role, you'll greet visitors with warmth and professionalism, provide program information, schedule appointments, and support multiple departments with key administrative tasks. Job Summary: The Front Desk Specialist welcomes all visitors who contact the Action Inc. Main Office in a courteous and approachable manner, answers questions, provides program information, completes intakes, schedules appointments, and provides administrative support across departments.
Hours: Part-Time, 25 Hours a week. Monday through Friday, 10:00am to 3:00pm
Greet visitors as they enter the Action office in a pleasant and professional manner.
Answer and direct calls to the appropriate staff member, program, or external
Assist clients with access to services, make referrals to the appropriate program staff or service, including those internal to Action Inc. or externally.
Complete intakes with clients for services via phone call or in person, accurately entering information into internal client databases.
Schedule initial client appointments with staff, informing clients of all necessary documentation needed for their appointment, making reminder and follow up calls as
Collect, record, and provide receipts for rental payments made by Action tenants.
Ensure the lobby area is organized, including any posted materials and/or pamphlets are current and inventory adequate.
Provide administrative support as needed, including data entry, faxing, mailing, photocopying, and filing.
Attend and participate in departmental, organization-wide, and other
Act in the best interest of the organization, reflecting the values of teamwork, collaboration, and mutual respect.

Required Skills/Abilities:
Excellent oral and written communication
Strong organizational skills and the ability to multi-
Friendly affect and welcoming personality, with the ability to triage and respond appropriately to individuals in crisis.
Must maintain a high degree of confidentiality and professional boundaries
Proficient in Microsoft Office
Second language desired
Ability to comply with and successfully complete a CORI background check before the start of employment
Must be legally authorized to work in the United States. Employment eligibility will be verified through E-Verify upon hire
Experience & Education:
AS degree in Human Services or a minimum of three years administrative experience, preferably in social services.
Physical Requirements:
Must be able to lift, move and carry up to 15 pounds at a time
Prolonged periods of sitting at a desk and working on a computer
Massachusetts Criminal Offender Record Information (CORI).
Name-based criminal record check (CORI) returns information on available Massachusetts arraignments.
